Job description

To support our continued growth we are looking for a Project Administrator to join our team. We are looking for someone who is passionate, not just about the industry, but also about supporting our teams to deliver essential services 24/7/365 that really make a difference to local people and communities.

Your new role

As Project Administrator for the Trenchless Technology Water & Infrastructure division, you will be based in our Leicester office (LE194SA) and be part of the Operations Support team which ensures Ipsum’s purchase order processes are followed and costs are captured correctly as well as day to day dealings with suppliers.

As part of the Operations Support team, reporting to the Commercial Project Manager and working closely with the wider Operations team, you will be able to confidently manage a busy workload on your own initiative and will adopt a flexible approach to your working day.

Principal Accountabilities:

  • Manage the hired equipment register
  • Maintain an accurate hire database
  • Process purchase orders for hired equipment
  • Review off hire damage and loss charges
  • Provide a weekly Live Hire report and associated cost
  • Review suppliers Live Hire reports weekly to ensure they are in line with Ipsum Hired Equipment Register

Further to this, you will be the link between the Operations Team and Fleet, liaising on POs, On/Off Hired vehicles, vehicle repair updates and time schedules, escalating chases where necessary and providing reports on Utilisation and Vehicles Off Road.

About you

  • Full UK driving licence
  • Strong understanding of DVSA and DfT regulations and requirements
  • Strong understanding of EU driver hours and Working Time Directive
  • Experience in management of vehicle tracking systems and associated reporting
  • CPC qualifications in Transport Management or a willingness to achieve this
  • Ability to communicate confidently and appropriately with stakeholders of all levels - colleagues, management, contractors and clients
  • Excellent team player with the ability to work on own initiative
  • Professional and positive approach
  • Self-motivated and organised
  • Flexible attitude and approach, with the ability to adapt quickly to new challenges
  • Previous experience working with Fleet and Transport
  • Previous experience working with HGV Vehicles
  • An Auto/HGV Mechanical background
