Job description

Executive Assistant to CEO and Directors

My client is seeking a highly organised and proactive Executive Assistant to provide high-level administrative support to the CEO and Board of Directors. This role is pivotal in ensuring the smooth running of executive operations, managing schedules, handling confidential tasks, and facilitating communication with internal and external stakeholders.

Key Responsibilities
  1. Executive Support & Administration
    1. Comprehensive diary management and forward planning for the CEO and Senior Leadership Team (SLT).
    2. Acting as Meeting Secretary, including preparation, collation, and distribution of meeting materials, minute-taking, and action follow-ups.
    3. Managing correspondence, filtering communication, and condensing information to conserve the CEO’s time.
    4. Providing general secretarial and administrative support to the wider leadership team.
    5. Acting as a key liaison between internal teams and external organisations.
    6. Coordinating with third-party business partners and suppliers.
    7. Overseeing internal and external meeting arrangements, including refreshments.
    8. Ensuring all paperwork is properly authorised and submitted within deadlines.
    9. Supporting the development and maintenance of efficient office processes and systems.
    10. Planning and coordinating internal and external events.
    11. Managing purchase orders and expense claims.
    12. Arranging travel, accommodation, and conference bookings.
    13. Handling business and personal errands as required.
  2. Office Management
    1. Overseeing daily office operations to ensure a smooth and efficient workplace.
    2. Managing office facilities, vendors, and supplies.
    3. Handling stationery, periodicals, and office requisitions.
    4. Implementing processes to improve office efficiency.
    5. Performing other ad-hoc office management duties as required.
Minimum Requirements
  1. Proven experience as an Executive Assistant or PA at a senior level.
  2. Strong experience in diary management.
  3. Ability to handle confidential information with discretion.
  4. Highly organised, able to work independently, and manage competing priorities.
  5. Exceptional interpersonal and communication skills.
  6. Ability to process large volumes of written and verbal communication efficiently.
  7. High level of attention to detail, including proofreading skills.
  8. Experience working under strict deadlines.
  9. Excellent IT skills, including proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  10. Experience in producing accurate and timely minutes.
  11. Strong time management and prioritisation skills.
  12. Professional and diplomatic, demonstrating company values in all interactions.
  13. Degree-level education or equivalent.
  14. Full UK driving licence.
