Job description

Compliance Administrator
Chester
Up to £23,000

An opportunity to join an expanding and progressive company as Compliance Administrator in a fast-paced and varied environment. Objectives of the role:
  1. Deliver a series of administrative tasks and driving compliance across estate (Circa 200 Buildings) and Change of Contracts.
  2. Manage and implement testing obligations and manage the process of follow on works (FOW) ensuring compliance across the Estate.
  3. Develop an in-depth understanding of regulations and the in-house auditing platform, including creating orders for external suppliers on request and managing updates where required.
  4. Support and advise on the compliance position of individual establishments when requested by the Operations Support team, focused on the change of contract process.
  5. Work collaboratively with the team to ensure compliance obligations are met.
  6. Support suppliers and internal Managers in the delivery of the compliance testing output within defined KPI’s.
Key Responsibilities:
  1. Support the team in resolving any notices or required communication with local authorities and internal Managers regarding compliance testing matters when they arise.
  2. Deliver the communication of statutory certification.
  3. Support the collation of compliance certification following project works and lodge the documentation within the internal system.
  4. Update and report via the internal tracking tool.
  5. Provide general support to the helpdesk function as required at peak times or absence cover, when agreed by line manager.
  6. Ensure that the statutory compliance database is maintained and accurate.
  7. Co-ordinate and ensure safety inspections are delivered on the day of change.
  8. Co-ordinate queries and notices from local authorities and the relevant point of contact.
  9. Ensure communication and maintenance of the dedicated compliance email account.
  10. Authorise quotations within the agreed approval level when required.
  11. Support regular meetings with contractors and suppliers to review progress and KPI’s.
  12. Manage circulation of statutory documentation and quotations as required.
  13. Undertake basic auditing of the live data supporting the Compliance visibility and processes.
  14. Collate and lodge certification produced following projects as required.
  15. Create event notices via the internal system of upcoming projects and defect periods.
  16. Work within the guidelines and maintain GDPR requirements at all times.
Skills and Experience:
  1. Ability to co-ordinate tasks autonomously with a consistent systematic approach.
  2. Good organisational skills and ability to work to tight timescales.
  3. Excellent communication skills both written and verbal.
  4. Excellent customer service.
  5. Good team player.
  6. Able to manage difficult conversations.
  7. Accuracy and attention to detail.
  8. Intermediate skill set in IT (essential).
  9. Excel skills (essential).
  10. A basic understanding of Microsoft teams (advantage).
  11. Flexibility to cover other department tasks or assist as required.
  12. Training will be provided for all systems.
