Job description

Reports to: Academic Co-ordinator Team Leader

Business Function: Registry and Academic Services

Location: North Common Road/Gunnersbury Avenue (Hybrid – minimum 2 days per week in the office)

Contract: Fixed-term (Maternity Cover: April 2025 – January 2026) - Includes a requirement to work one Saturday per month.

Salary: £30,000 per annum pro rata

Role Purpose

The Academic Co-ordinator will administer programmes as designated by the Academic Co-ordinator Team Leader and any other courses offered by the Institute. This role provides maternity cover from April 2025 to January 2026 and will support the operation, administration, and development of the academic coordination team and the Institute.

The Academic Co-ordinator will provide dedicated administrative support, acting as a key interface with the student body. Programme allocation will be made based on workload requirements, student cohort sizes, and operational needs.

Role And Responsibilities
  1. Provide accurate and reliable course information to enquirers via post, telephone, and in person.
  2. Assist students with the pre-enrolment stage, including booking assessment interviews and providing entry requirements guidance.
  3. Maintain effective information and guidance systems for academic staff.
  4. Administer coursework marking, student feedback, and record grades.
  5. Ensure external examiner correspondence and assessment board documentation are processed.
  6. Maintain student records, email lists, and course materials.
  7. Organise and support professional meetings, including preparing agendas and taking minutes.
  8. Assist in posting teaching materials on Moodle and updating course-related resources.
  9. Provide general administrative support to programme tutors and the Academic Co-ordinator Team Leader.
  10. Assist with marketing programmes by creating course outlines and ensuring accurate course details on the website/Moodle.
Essential Skills And Experience
  1. A first degree or equivalent qualification/experience.
  2. Minimum three years of administrative experience, ideally in higher education.
  3. Proficiency in MS Office and experience with data entry.
  4. Experience in committee servicing.
  5. Excellent interpersonal and communication skills.
  6. Strong organisational and planning abilities.
  7. Ability to work independently and collaboratively within a team.
  8. Knowledge of Moodle (desirable but not essential).
