Title: Transition Assistance Program (TAP) Data Entry Assistant
Location: Ramstein Air Base, Germany
Start Date: Immediately
Job Type: Full Time (40 Hours/week)
SUMMARY
Personnel needed to provide TAP data entry and administrative assistance for the congressionally mandated TAP at the M&FRC, Ramstein Air Base, Germany. The Contractor will work directly with the TAP Core Compliance Expert (CCE) and the Supervisory Community Readiness Consultant (CRC) and will provide basic information on the TAP process to transitioning service members and their families.
QUALIFICATIONS
Language: Read, write, speak, and understand the English language and achieve a minimum score of 50 on the Test for English as a Foreign Language (TOEFL) or equivalent.
Experience: 3 years of experience using Microsoft Office products (Word, Excel, PowerPoint, Outlook).
Ability to interact with staff and customers successfully.
Ability to gather, compile, and track TAP data in assigned systems.
Ability to assist TAP program and staff.
Customer service experience and skills and the ability to type at a minimum of 50 WPM.
Answer and operate multi-line telephone, and use current computer and audio-visual equipment.
Able to lift 50 lbs.
THE DUTIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:
Meet, greet, and assist customers at the M&FRC and M&FRC Spouse Hub in a friendly, service-oriented manner.
Assist customers via face-to-face, email, virtual, and telephonic methods.
Ensure all customers sign in prior to receiving service and check for proper identification when required.
Establish, maintain, and update TAP Data Entry Assistant continuity book(s).
Administer the timely and accurate input of congressionally mandated documentation for the TAP program. Gather, compile, and track data incorporated in the AFFIRST System and DoD TAP.
Monitor and update registration, waitlists, and attendance for TAP workshops. Communicate attendance to all TAP counselors.
Create and disseminate pertinent information and inquiries to program participants for the collection and entry of data for statistical reports and TAP workshop registration.
Prepare, process, and track correspondence utilizing the TAP org box.
Disseminate customers to TAP counselors for TAP related services. May schedule clients for appointments as requested by TAP CCE.
Monitor progress of service members in the TAP program, identify members potentially not meeting required timelines, and communicate issues to TAP CCE.
Communicate with TAP CCE daily regarding work tasks.
Provide a variety of support services as needed to improve the effectiveness of the TAP Staff and its ability to provide TAP services as directed by the TAP CCE.
Prepare and update TAP marketing materials including but not limited to website, flyers, social media, etc.
Maintain and clear service members in vMPF once TAP mandates have been completed. Contact service members if visits are required to complete TAP mandates.
Create sessions in TAP Events website for TAP workshops. Update sessions after confirming attendance for each workshop.
Input TAP workshops in AFFIRST, M&FRC Org Box Calendar, and TAP Events and update changes as needed.
Use DoD TAP to verify service member data is accurate on all eForms, to include verifying Pre-Separation Counseling attendance prior to each TAP workshop.
Provide input to TAP CCE for required reports to Air Force Headquarters.
Access, review, and assist with corrective actions on the monthly Veteran’s Opportunity to Work (VOW) report to prepare for submission to Air Force Headquarters.
Prepare and disseminate TAP workshop reminder emails.
Prepare and disseminate monthly emails to each service member listed on the loss roster to ensure timely notification to start the TAP process.
Update TAP computers and provide IT support.
Perform outreach efforts and assist in determining the need for TAP information, identifying what services should be emphasized, prepare or locate informational materials, and disseminate such materials to the military community.
Assist with TAP workshop setup, facilitation, and breakdown.
Requires ability to move around the office and carry light items such as books, papers, and files.
