Key ResponsibilitiesThe Office Manager is responsible for the administrative, financial, and accounting management of the German office. Additionally, the role oversees human resources and facilities management, as well as handling customer and internal requests. The Office Manager is a key partner with all departments of the company.
Administration- Office Supplies & Facility Management: Ensure the office is well-stocked and maintained, managing orders and overseeing facility needs.
- General Administration: Handle various administrative tasks to support the smooth operation of the office, including postbox management and document archiving.
- Event Planning: Organize and execute internal events and group travel arrangements.
Finance & Accounting- Accounting: Manage suppliers and customer invoicing, bank transactions, and credit collection.
- Monthly Closing: Ensure smooth monthly financial closing.
- Customer & Suppliers Demands: Address customer emails and supplier requests promptly.
- Credit Card Expenses Follow-up: Collect invoices and manage related tasks.
Human ResourcesCollaborate with the HR department in the Paris Headquarters.
- Payroll Management: Oversee payroll variables and ensure timely salary payments.
- Onboarding & Offboarding: Participate in the onboarding and offboarding processes for employees.
- HR Administration: Handle declarations and other HR administrative tasks.
Qualifications- Proven experience in similar roles, office management, administration, finance, or HR coordination.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in relevant software and tools (Word, Excel, Google Workspace).
- Fluency in German and English.
