To strengthen our team, we are looking for the next possible date for aManager Welcome Centre (m/f/d) in the implementing company of the Rhine-Ruhr 2025 FISU World University Games.
Full-time / 40 hours per week / temporary contract until late summer 2025.
The Welcome Centre Manager is responsible for managing the Welcome Centre, which is the main administration location for arriving delegations to complete various administration tasks and where they receive their Games accreditation. The Welcome Centre is located at Dusseldorf Airport. The Welcome Centre Manager will coordinate a number of Functional Areas (FA) that are involved in the delivery of specific functions within the Welcome Centre that relate to participation at the Games. The position reports to the Team Lead International Relations and is full-time based in the Organising Committee (OC) office in Dusseldorf.
Specifically, your area of responsibility will focus on the following tasks:
- Work to current layout and fit-out plans of the Welcome Centre ensuring that final venue preparations are implemented. Where relevant, amendments to plans can be made.
- Liaise with relevant FISU staff in relation to operational delivery of the Welcome Centre.
- Liaise with the appointed venue manager from Dusseldorf Airport for all relevant requirements relating to venue bump in, delivery, and bump out.
- Coordinate FA areas acting within the Welcome Centre to ensure efficiencies of processes and tasks to be completed to ensure an efficient and functional Welcome Centre. FA areas include (but are not limited to): Accreditation, Transport, Sport, Finance, Accommodation, Technology, and Logistics.
- Oversee the daily operations of the Welcome Centre.
- Coordinate up to 30 volunteers who will work within the Welcome Centre at any one time. This includes onboarding, training, shift allocation, and daily volunteer management.
- Work with the FAs of Delegation Services and Arrivals & Departures to determine arrival times of participating delegations and then coordinate these times with other FA areas within Welcome Centre operations.
- Liaise with the Arrivals and Departures FA to ensure smooth transition of delegations from the airport arrivals hall to the Welcome Centre, including management of wayfinding as well as meet and greet services.
- Work in collaboration with other functional areas to deliver on tasks as they relate to delegations attending the Games.
- Other tasks as deemed relevant to the level of the position.
Folgende Fähigkeiten & Kenntnisse bringst Du idealerweise mit:
- An academic degree in international relations, sports management, event management, or similar.
- Experience in coordinating a venue for a sport, conference, or other similar event.
- Experience in managing relevant processes, flows, and operational procedures within a venue environment.
- Ability to think logically and implement practical solutions in a high-pressure environment.
- Understanding of how functional areas interact in a multi-sport event environment to achieve common goals.
- Culturally and globally aware.
- Patience and empathy.
- High level of flexibility and be a self-starter.
- Person who strives to find solutions to challenges.
- Excellent communication and mediation skills.
- Fluency in English. Knowledge of German would be an asset but is not required for the role.
