As Head of Order & License Management (m/f/d), you manage the order processing and billing functions (ensuring timely and accurate invoicing), license management, and revenue recognition. Your role is critical in maintaining cash flow, ensuring customer satisfaction through precise billing, and supporting the financial cycle, ultimately driving the company’s revenue and profitability.
Your tasks:
You accept customer orders and check them for accuracy and completeness.
You ensure that orders are processed promptly and in compliance with company policies and that invoices are sent to customers on time.
You verify the accuracy of invoice data, including prices, discounts, and terms.
Together with your team, you respond to customer inquiries regarding invoices, billing discrepancies, and payment terms.
You resolve billing disputes promptly and professionally to maintain strong customer relationships.
You provide customers with the appropriate licensing rights as part of their orders and monitor license inventory.
You support your team in month-end and year-end financial closing activities related to billing and revenue topics.
You bring expertise in managing the order process from initiation to completion. Experience with billing systems and software (e.g., ERP systems, invoicing tools) and an understanding of fundamental accounting principles related to billing and revenue recognition are among your strengths. Your high level of accuracy in data entry and invoice documentation, as well as your ability to analyze billing data and reconcile accounts, distinguishes you.
As part of your role, you coordinate internal interfaces (Sales, Inside Sales, Consulting & Finance) to ensure timely delivery of orders and optimal customer service.
For incoming orders, you handle technical and commercial verification and check that all interfaces within the systems are synchronized.
Together with other departments, you resolve technical questions, delivery times, and pricing issues during the quotation and billing process.
You are responsible for tracking quotes and ensuring on-time delivery of orders.
In matters related to orders, quotes, and interface management with our sales subsidiaries, you act as the primary contact person for our customers.
Your profile
You have completed a commercial vocational training program.
You already have at least three years of leadership experience.
You have at least five years of experience in processing customer orders.
Ideally, you have experience with HubSpot, NetSuite, and MS Office.
A high level of customer orientation, organizational skills, service mindset, and targeted communication are among your strengths.
You are a team player.
We expect you to have excellent German and English language skills, both written and spoken.
