For our Test Industry site in Aachen (Germany), we are looking for a General Office Manager (m/f/x).

The General Office Manager will play a key role in ensuring and improving all the smooth operations of the German plant, managing directly front and back-office support functions.

This role requires the General Office Manager to be based full-time on-site at our Test Industry plant in Aachen, Germany, ensuring strong local support for our operations and will also serve as a key liaison with our Italian plants, facilitating communication and operational alignment across locations.

Main Responsibilities and Activities

  • Support in the preparations of budgets, forecasts, monthly/annual financial statements reporting to Test Industry headquarter.
  • Business trip management (booking, visa applications, expense reports, A1 certificates, etc.).
  • Occasional support in human resources management (recruitment, attendance tracking, payroll, testimonials, etc.).
  • Administration of bank accounts (processing payments, cash forecast, liquidity management).
  • Control of invoices, dunning, VAT declarations & Tax returns.
  • Entering orders and any commercial or administrative data into company database, issuing orders confirmation and communication with customers.
  • Managing Accounts Receivable and Accounts Payable Aging, taking under control and action past-due amounts (both on debit and credit side).
  • Contact person for the external Accounting Service and Legal and Tax consultants.
  • Contact person for the insurance broker (contract overview & management, reporting, claims management).
  • Reporting to various other recipients (Intrastat, ZM, transparency register).
  • Management and intermediation of internal and external communication.
  • Drafting reports, presentations, and revisions.
  • Management of phone calls and messages.

Technical Skills:

  • Education: Completed commercial or comparable vocational training (kaufmännische Ausbildung), Degree in Economics, Letters, Foreign languages, or related fields.
  • Experience: Relevant professional experience in office management or related roles, preferably within manufacturing or an industrial environment.
  • Skills: Good knowledge of foreign languages, personnel management, general services.
  • Languages: Excellent written and spoken command of German and English.

Nice to have:

  • Proficiency in Italian will be positively considered.
