We are offering an exciting opportunity for the position of Executive Assistant to Chief Operating Officer EMEA who fosters collaboration across all operational excellence disciplines to enhance effectiveness and efficiency and ensures that all our sites operate according to the highest standards of safety, quality, and security. In this position, you will play a pivotal role in providing high-quality support to our COO EMEA. You'll be responsible for ensuring smooth communication and delivery of initiatives that drive efficiency and impact on our regional community and liaison with the board of directors and senior management teams.

What will your responsibilities be?

  1. Manage an active calendar of appointments for the COO EMEA, including scheduling and coordination.
  2. Complete administrative tasks such as expense reports, correspondence preparation, and travel arrangements.
  3. Act as a gatekeeper and facilitator, providing direct access to the COO's time and office.
  4. Communicate on behalf of the COO with stakeholders and others regarding programmatic initiatives.
  5. Research and prioritize incoming issues, determining appropriate actions or responses.
  6. Keep the COO well-informed of upcoming commitments and responsibilities, acting as a "barometer" of environmental issues.
  7. Provide leadership and manage our operational excellence regional community meetings with organizational impact.
  8. Support the COO's ability to effectively lead the company through drafting presentations and facilitating deliverables.

You won’t find another Executive Assistant to COO EMEA position like the one you’ll find with DHL Supply Chain. Now, here’s what we need from you:

  1. Ideally 3-5 years of experience as an executive assistant or similar supporting C level Executives, preferably in a global organization with a multi-country, multicultural environment.
  2. Strong organizational skills and ability to prioritize multiple tasks with attention to detail.
  3. Excellent interpersonal skills to build relationships with staff, board members, and external partners.
  4. Proactive problem-solving and decision-making capabilities.
  5. Proficient in MS Office (e.g., Outlook, Excel, PowerPoint).
  6. Ability to handle confidential information with discretion and provide high-level customer service.
  7. Demonstrated ability to meet deadlines in a fast-paced environment.
  8. Excellent communication skills in English. German is a plus.
