We’re now looking for an Executive Assistant to the CEO to support the growth of Almedia by partnering closely with our CEO, ensuring smooth operations, and maintaining focus on high-priority initiatives.
This role is crucial to the CEO's ability to execute on the company's vision and requires someone who thrives in a fast-paced, dynamic environment.
As the Executive Assistant, you will:
Calendar & Time Management: Optimize and manage the CEO’s schedule, prioritizing high-impact meetings and tasks.
Communication: Act as the gatekeeper for the CEO, handling key communications and drafting emails, presentations, and reports.
Meeting Support: Prepare agendas, take notes, track follow-ups, and ensure the CEO is well-prepared for all meetings.
Project Assistance: Support small-to-mid-size projects, tracking progress and ensuring deadlines are met.
Travel Coordination: Organize all business travel, creating detailed itineraries and managing logistics.
Admin Support: Manage expense reports, approvals, and personal errands when necessary.
We are looking for someone who has:
Strong experience in time management and scheduling, with the ability to optimize and protect the CEO’s time.
Excellent written and verbal communication skills in English and German.
High proficiency with Google Suite, Slack, and project management tools like Asana or Trello.
Strong attention to detail, especially when preparing presentations, reports, or managing important communications.
The ability to work independently, handle multiple projects at once, and proactively solve problems as they arise.
You thrive in a fast-paced, ever-evolving startup environment.
A confident and diplomatic communicator, you know when to prioritize or push back without causing offense.
You are driven, highly organized, and proactive, always looking for ways to improve efficiency and stay ahead of the CEO’s needs.

You are discreet, trustworthy, and can be relied upon to handle sensitive information with care.
