Responsibilities:
- Calendar Management: Maintain and coordinate complex executive schedules, including meetings, conferences, travel arrangements, and events.
- Communication: Act as a liaison between executives and internal/external stakeholders, managing phone calls, emails, and correspondence on behalf of the executive team.
- Meeting Coordination: Organize meetings, prepare agendas, take minutes, and follow up on action items.
- Travel Arrangements: Plan and book executive travel, including flights, accommodations, and ground transportation, ensuring itineraries are complete and accurate.
- Document Preparation: Draft, proofread, and edit reports, presentations, and other documents as needed.
- Project Support: Assist executives with special projects, including research, data analysis, and project management.
- Expense Management: Track and process executive expense reports, ensuring timely and accurate submission.
- Office Management: Oversee office operations related to the executive team, including ordering supplies and managing event logistics.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
- Process Improvement: Identify opportunities for operational efficiency and process improvements within the executive office.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Experience: 3+ years of experience in an executive assistant or high-level administrative role, supporting senior executives.
- Skills:
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- High proficiency in Microsoft Office (Word, Excel, PowerPoint) and calendar management tools (e.g., Google Calendar, Outlook).
- Ability to prioritize tasks, meet deadlines, and multitask in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
