Roles & Responsibilities:
The coordination of executive activities including calendar maintenance, travel coordination, managing all appointments, phone calls, and emails.
The development of meeting agendas, presentations, and handling of all external resources that the executive may request to allow them to perform their responsibilities.
Communicating with internal and external stakeholders, ensuring all matters are dealt with and brought to the executives’ attention.
Management of executives’ personal calendar and household.
Proactively create and maintain effective workflow and communication to accomplish executive teamwork.
Coordination and execution of events.
Ability to travel with short notice.
Manage projects and follow up on action items on behalf of the executive.
Establish work priorities, delegate work to office support staff and ensure deadlines are met and procedures are followed.
Assist in preparation of operating, budget and maintain inventory and budgetary controls.
Prepare, proofread and check correspondence, invoices, and reports.
Co-ordinate internal flow of information.
Perform other administration duties.
Desired Professional Experience:
3+ years of administrative or executive assistant experience.
Self-motivated and results-oriented.
Proficiency in Microsoft Word and Excel.
Technologically adept.
Post-secondary diploma or degree.
Attention to detail.
Ability to work in a fast-paced environment.
Strong command of the English language both written and verbal.
Good communicator in email, over the phone and in person.
Exceptional interpersonal, communication, and writing skills.
