Events Manager
Starting: February 1, 2025
Employment Type: Part-time, 25 hours/week
Contract Type: 2 years
Responsibilities:
- Consult with Senior Leadership Team, teachers, administration and parent teacher organization (PTO) to develop event concepts that align with the school’s objectives
- Create detailed event timelines, budgets, and logistics plans
- Source and coordinate with staff (e.g. kitchen, facilities) to ensure timely and high quality organization
- Source, negotiate with, and coordinate external vendors (caterers, decorators, audiovisual technicians, etc.) to ensure high-quality service within budget constraints
- Liaise with staff, parents, students, alumni, and external partners to promote and facilitate engagement with school events in order to ensure respective support
- Manage event budgets, ensuring cost-effectiveness without compromising on quality
- Prepare post-event reports, analyzing success metrics, feedback, and areas for improvement
- Support Head of Marketing with the promotion of events through various communication channels, including email, Intranet, newsletters, newsblog, and social media
- Work with the marketing/communications team to create promotional materials and generate interest in school events
- Oversee event setup, execution, and breakdown, ensuring smooth operations from start to finish
- Collaborate with event staff, volunteers, and student helpers, providing clear instructions and support throughout the event
- Ensure all events comply with health and safety regulations
- Anticipate potential challenges and develop contingency plans to mitigate risks
The successful candidate will meet the following criteria:
- Degree or professional training in Event Management or a related field
- Experience in event planning, ideally in an educational or international setting
- Strong organizational and project management skills
- Excellent communication and interpersonal skills with a multicultural awareness
- Experience working collaboratively with diverse stakeholders
- Flexibility to work evenings and weekends as required by event schedules
