Job Description
The County of Grande Prairie is looking for a passionate Human Resources Coordinator to join our team! The Human Resources Coordinator plays a key role in delivering high-quality human resources services across the organization. This position provides day-to-day coordination, administration, and functional support across a wide range of HR programs and activities, including overseeing all Human Resources Management Systems (HRMS) as well as supporting other areas such as employee relations, recruitment, onboarding and offboarding activities, learning and development, compensation and benefits, organizational development, general employment administration, and championing continuous improvement.

Reporting directly to the Director, Human Resources, the Human Resources Coordinator works closely with Human Resources Advisors and internal stakeholders to support an engaged, employee focused, and high performing workplace culture. The role emphasizes service excellence, accuracy, confidentiality, and compliance with applicable policies, procedures, and legislative requirements. Key Responsibilities
Departmental and Service Area Wide Support
- Provides consistent high quality administrative and customer service support through in person, phone, departmental email correspondence and monitoring, and written communication.
- Maintains accurate and confidential employee records in compliance with legislative, policy, and records management retention/disposal requirements.
- Prepares, processes, and manages HR documentation including employment contracts, recruitment and interview materials, onboarding and offboarding records, performance documentation, employee service recognition, and employment changes.
- Ensures data accuracy and integrity within Human Resources Management Systems (HRMS). This includes but is not limited to employment information, compensation, position information, performance data, contract dates, employee service recognition, seniority, training compliance, and learning and development activities.
- Coordinates administrative logistics and communication related to recruitment, onboarding, orientation, training and development opportunities, awareness days, employee milestones, meetings, employee perks, HR surveys, external HR events, hosted departmental events, other departmental activities, and County wide events as required.
- Administers employee service recognition and health and wellness programs in collaboration with other departments.
- Support service area operations through ordering supplies, processing invoices, and assisting with basic financial administration.
- Prepare routine and ad hoc HR reports to support metrics, audits, planning, and decision making.
Functional HR Support
- Provides front line HR support and guidance to employees, leaders, and candidates on policies, procedures, and legislation.
- Supports full employee life cycle processes - recruitment, onboarding, orientation, learning and development, employee service recognition, and employee offboarding processes to ensure a positive employee experience.
- Provides expertise and support in modern administrative practices, including digital document creation and editing, electronic file and records management, developing and utilizing electronic forms, and familiarity with current office procedures and terminology.
- Prepares and maintains accurate, confidential HR documentation and employee records in compliance with legislation and records management requirements.
- Maintain data accuracy and integrity within the Human Resources Management System (HRMS).
- Support HR Advisors with employee relations, compensation and benefits administration, and workplace initiatives.
- Assist with HR systems, process improvements, and special projects while exercising sound judgment and confidentiality.
- Handles sensitive employee and organizational information with discretion, professionalism, and strict confidentiality.
Qualifications
- Two year post secondary diploma or specialized certificate in Human Resources Management, Business Administration (with HR related curriculum – recruitment, employment law, compensation, HR administration). Other related education and experience may be considered.
- Minimum of 2 -3 years of progressively responsible human resources administrative experience preferably in a municipal or public sector environment
- Demonstrated experience maintaining employee records and Human Resources Management Systems (HRMS), supporting recruitment and onboarding and offboarding activities, preparing accurate employment documents and contracts, and providing a high level of front-line HR customer service to employees, people leaders, and the public
- Exceptional communication and collaboration skills and the ability to communicate tactfully, clearly, effectively, and professionally; and exercise mature judgment to deal effectively with employees, various departments, external stakeholders, and the general public
- Specialized HR training or certification and progress toward a CPHR designation are considered assets
- Registered Professional Recruiter (RPR) considered an asset
- A valid class 5 driver’s license with an acceptable driver’s abstract

- Work Schedule: This is a full-time position and offers a 35-hour work week, Monday to Friday 8:30am- 4:30pm with a one hour meal break.

- Pay Rate: $39.40 - $46.35 per hour
