Job Description:
We are seeking a highly organized and proactive Team Manager to lead and manage planning and scheduling functions within our team. This role will involve overseeing the scheduling of resources, tracking project milestones, and ensuring that tasks are assigned and completed on time to meet deadlines. The ideal candidate will have strong leadership, communication, and analytical skills, as well as a deep understanding of project management tools and methodologies.
Minimum Qualification Requirements:
- Diploma or relevant certificate
- Proven experience in a team leadership role, preferably in planning or scheduling.
- Excellent communication and interpersonal skills.
- Strong problem-solving abilities and attention to detail.
- Ability to prioritize tasks effectively and manage competing deadlines.
Preferred Experience:
- 3+ years of experience in a scheduling or planning role.
- Previous experience working in a fast-paced or dynamic industry.
- Strong ability to coordinate across multiple teams and clients.
Key Responsibilities:
- Team Leadership and Coordination:
- Lead, mentor, and manage a team responsible for scheduling and resource allocation.
- Foster a collaborative team environment to ensure all tasks are completed effectively.
- Act as the main point of contact between management, teams, and clients for scheduling and planning-related queries.
- Monitor team performance, provide regular feedback, and support in professional development.
- Planning and Scheduling:
- Create, update, and manage detailed schedules for multiple projects (jobs) or teams, ensuring all tasks are prioritized and deadlines are met.
- Allocate resources effectively to meet the demands of projects (jobs) and avoid conflicts.
- Identify potential scheduling conflicts and resolve them proactively to prevent project delays.
- Use scheduling software and tools (e.g., Eworks, Email etc.) to create project timelines, assign tasks, and track progress.
- Project Coordination:
- Collaborate with the project manager to develop comprehensive project plans with clear timelines, milestones, and deliverables.
- Ensure that all team members are aware of their responsibilities and project timelines.
- Coordinate cross-functional teams to ensure that resources are aligned with project goals and schedules.
- Monitoring and Reporting:
- Monitor the progress of projects (jobs) and tasks to ensure adherence to timelines.
- Provide regular feedback to management and clients on the progress of projects (jobs), resource utilization, and any potential risks.
- Track key performance indicators (KPIs) for team and project (job) progress, including task completion rates, on-time delivery, and resource efficiency.
- Risk Management:
- Proactively identify potential risks or bottlenecks in schedules and recommend corrective actions.
- Develop contingency plans to mitigate potential delays or issues related to resource constraints or unforeseen project challenges.
- Continuous Improvement:
- Continuously review and refine scheduling and planning processes to improve efficiency.
- Stay up to date with best practices and trends in project scheduling and resource management.
- Analyse past projects (jobs) to identify lessons learned and implement improvements in future planning and scheduling.
