Introduction

We are seeking to employ a permanent Supervisor – Inbound Planning Administration in our UPD Cape Town (Montague Gardens Distribution Center). The candidate will report to the Capacity and Logistics Planning Executive.

Purpose:

Responsible nationally for overseeing inbound shipments of pharmaceutical products, ensuring accurate scheduling, and optimising efficiency in receiving operations.

Job Objectives:

  • Supervision and Team Management:
    • Lead, mentor, and supervise a team of booking clerks.
    • Schedule and allocate tasks to ensure efficient operations and adherence to deadlines.
    • Conduct training and development sessions to enhance team skills and performance.
  • Coordinate Inbound Shipments: Ensure scheduling and coordination of the receipt of pharmaceutical products from suppliers, ensuring alignment with inventory needs and operational capacity.
  • Communicate with Suppliers: Ensure regular communication with suppliers to confirm shipment details, resolve discrepancies, and ensure timely delivery of products.
  • Optimise Receiving Operations: Work closely with warehouse personnel to optimise receiving processes, minimise delays, and ensure efficient handling of incoming shipments.
  • Manage Documentation: Ensure accurate documentation of inbound shipments, including bills of lading, packing slips, and other relevant paperwork, in compliance with regulatory requirements.
  • Monitor Inventory Levels: Collaborate with inventory management team to monitor inventory levels and anticipate future demand, adjusting inbound schedules as necessary to maintain optimal stock levels.
  • Resolve Issues: Proactively identify and address issues related to inbound shipments, such as delays, shortages, or damaged goods, working with suppliers and internal stakeholders to find solutions.
  • Maintain Compliance: Adhere to all regulatory requirements and company policies related to inbound logistics, including safety regulations, quality standards, and Good Distribution Practices (GDP).

Job Related Knowledge:

  • Essential: 1 - 3 years buying administration experience with inbound logistics, scheduling, or supply chain coordination, preferably in the pharmaceutical or healthcare industry.
  • Exposure to a high volume FMCG / Wholesale environment.
  • Strong organisational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with suppliers, internal teams, and other stakeholders.
  • Proficiency in Microsoft Office applications and logistics management software.
  • Knowledge of regulatory requirements and industry standards for pharmaceutical distribution preferred.
  • Ability to lead a team.

Experience:

  • Qualification in Supply Chain Management will be advantageous.
