Job Description: We are looking for a Stores / Buyer to join our team at Olarm who will play a key role in demand forecasting, material sourcing, inventory control, and buying, ensuring that materials are procured, stored, and managed efficiently to meet production and delivery schedules.
The role involves close coordination with the production, supply chain, manufacturing and quality teams, ensuring materials meet specifications, are of high quality, and are readily available to meet operational demands.
This person will also contribute to process optimisation within the stores and purchasing function.
Key Responsibilities:
- Demand Forecasting and Procurement Planning: Work closely with the production team to understand material requirements based on production schedules and demand forecasts. Plan procurement activities by forecasting demand for materials and finished goods. Maintain optimal stock levels to ensure availability while minimising overstock and storage costs. Assist in creating and maintaining an accurate procurement plan that aligns with production goals and sales projections.
- Material Sourcing and Buying: Identify and evaluate suppliers for quality, reliability, and cost-effectiveness. Negotiate with suppliers to secure the best terms for pricing, delivery, and quality. Ensure timely procurement of materials to avoid production delays, while also monitoring supplier performance. Issue purchase orders, track deliveries, and manage relationships with vendors. Assist in supplier development initiatives to improve procurement efficiency and product quality.
- Inventory Control: Monitor and manage stock levels, ensuring materials are stored efficiently and in compliance with company standards. Maintain accurate records of inventory movements, including receipts, issues, and stock adjustments. Conduct regular inventory counts to ensure stock accuracy and report any discrepancies. Implement strategies to reduce inventory carrying costs and wastage.
- Picking Kit for Production: Coordinate with the production team to ensure materials are picked and kitted accurately and on time for production runs. Prepare and distribute material kits based on production orders and schedules. Ensure that all components in the kit meet the required specifications and are available when needed.
- Testing and Quality Control: Perform quality checks on incoming materials and supplies to ensure they meet required specifications and standards. Liaise with the quality control team to ensure that all materials are inspected, tested, and approved before use in production. Identify and manage defective or non-conforming materials and coordinate returns or replacements with suppliers.
- Process Optimisation: Continuously review and optimise store processes to improve efficiency, reduce costs, and enhance productivity. Implement best practices in inventory management and procurement to streamline operations and reduce lead times. Collaborate with other departments to improve procurement, stores management, and production workflows.
- Finished Goods Transfer: Ensure the timely and accurate transfer of finished goods from production to the stores or distribution areas. Coordinate with logistics and shipping teams to manage the movement of finished products to customers or distribution centers. Maintain accurate records of all finished goods transactions, ensuring they are properly documented and tracked.
- Any other reasonable task.
Requirements:
- A diploma or degree in Supply Chain Management, Procurement, Logistics, or a related field.
- Proven experience in procurement, buying, stores management, or inventory control.
- Strong understanding of supply chain processes, including demand forecasting, material sourcing, and inventory management.
- Excellent organisational skills with strong attention to detail and the ability to multitask.
- Good communication and negotiation skills with the ability to manage supplier relationships.
- Experience with inventory management systems and procurement software (ERP systems experience is a plus).
- Ability to work independently as well as collaboratively in a fast-paced environment.
- Familiarity with quality control processes and experience working in a manufacturing or production environment is advantageous.
