Manage and oversee the stock control process for new, pre-owned, demo, and fleet vehicles to ensure seamless operations, accurate record-keeping, and compliance with financial and dealership standards. This role requires meticulous attention to detail, strong organizational skills, and the ability to coordinate stock movements, invoicing, and floorplan management while ensuring vehicles are correctly processed from acquisition to sale.
Minimum Requirements
- 3+ years of stock management experience in a corporate dealership or pre-owned vehicle environment
- Knowledge of payable accounts processes (suppliers) and invoice management
- Floorplan management experience
- Proficiency in Dealer Management Systems (DMS), preferably Evolve
- Strong administrative and financial competence
- Superior engagement with staff and suppliers
- Ability to work under pressure and meet strict deadlines
- Problem-solving skills and high attention to detail
- Strong planning and multitasking abilities
- Proficiency in MS Office (Word, Excel, PowerPoint)
Duties and Responsibilities:
- Stock Management – New Vehicles:
Ensure all vehicles ordered are recorded accurately in stock systems
Track vehicle movement from order to delivery, ensuring correct allocations and documentation
Oversee invoicing and reporting of new vehicle stock
Conduct quality checks on arrival and report any faults to OEMs - Stock Management – Pre-Owned Vehicles:
Ensure accurate booking and documentation of pre-owned stock
Oversee vehicle inspections, reconditioning, and compliance with roadworthy requirements
Manage spare key tracking and stock pricing updates
Conduct weekly stock takes and ensure showroom pricing is up to date - Demo & Fleet Management:
Oversee demo and courtesy vehicle allocations and insurance processes
Monitor vehicle mileage and maintenance schedules
Remove branding for vehicles transitioning from demo to sale - Floorplan Management:
Process vehicle additions and removals from the floorplan system
Ensure financial documentation is accurately recorded and submitted
Assist with floorplan audits and compliance checks - Invoice Management:
Ensure all invoicing is completed within 24 hours of vehicle delivery
Verify deal files for accuracy and completeness
Coordinate with the workshop to close outstanding orders - NATIS & Licensing Management:
Oversee vehicle registration and licensing processes for new and pre-owned sales
Maintain accurate logs of all NATIS documents and ensure timely processing - Trade-In Management:
Process trade-in vehicles, ensuring accurate settlement and document retrieval
Coordinate NATIS transfers and dealer stock registrations
