Specialist: Finance

Purpose & Key accountabilities:

• Responsible for facilitating payroll month end payments to associates and third parties as well as oversight of the recoveries of loans/advances given to associates.
• This function performs the payroll accounting and travel function for the plant, NSC, IT hub and Financial services. Reconciliation of Employee benefit trust (EBT) accounts and is main contact person for EBT trustees and accountant therefore responsible for submitting monthly and quarterly information the EBT stakeholders' request.
• Responsible for investigating, obtaining support and clearing of the payroll bank clearing account, the risk of this task not being completed correctly will result in discrepancies between the processed payroll by HR Services and the actual payment from the bank account.
• Responsible for signing off all payment release forms for terminated associates by reviewing employee payroll loan and advance accounts.
• Responsible for forecasting the financial services treasury and BMW SA monthly payroll preliminary and final cash flow forecast.
• Managing the bank file salary payment release function to the bank as well as setting up of temporary bank limits in specific months where required.
• Monthly review and facilitation of payments to payroll third parties (medical aid, pension fund, other payroll third parties).
• Responsible for the monthly payroll BMW (SF) postings and on charge journals, together with completion of monthly payment schedule to BMW (SF).
• Process bi-weekly travel related invoices via interface invoice files from travel Management Company.
• Complex reconciliation of invoices billed via the interface file to invoices charged and booked in relation to travel.
• Responsible for completion of the finance accruals finance controllers the monthly travel accruals.
• Accurate reporting with respect to capital/income in nature travel for tax purposes.
• Prepare and submit monthly the travel deductions for payroll input.
• Responsible for KPI management and improvement of the external third party relationships for travel management.
• The individual is responsible to drive improvement in all travel processes, systems and most importantly Supplier improvement.
• Reconciliation of employee fleet loan, travel advances, Expat house deposits and SANRAL recovery GL accounts.
• Remediate and delegate with appropriate support any associate queries relating to travel, SANRAL.
• Travel policy review, presentation and alignment with all circles.
• Calculation of provision for bad debts in line with IFRS and applying an appropriate methodology.
• Reconciliation of Rennies/FCM travel vendor, and ensuring all invoicing is correct.
• Concur and Rennies/FCM Supplier management.
• Payroll and travel related projects.
• Ensure that current processes are being improved and any changes/improvements are documented in work instructions.
• Ensuring there are appropriate and sufficient internal controls in the payroll accounting area to mitigate risks.
• Support and resolve or redirect to responsible individuals any queries received from associates, travelers, finance department.

Education Background:

• CA (SA)/ Accounting Diploma

Work experience:

• Articles + 2 years post articles preferred.
• SAP knowledge preferred.
• Extremely strong Microsoft Office (Excel and PowerPoint) Skills.
