FACULTY OF ENGINEERING, BUILT ENVIRONMENT AND INFORMATION TECHNOLOGY

DEPARTMENT OF INDUSTRIAL AND SYSTEMS ENGINEERING

POST TITLE: DEPARTMENTAL ADMINISTRATOR BP

OMNES POST LEVEL: 10

Responsibilities

  1. Departmental Administration: Meetings, Minutes, Postgraduate Administration.
  2. Systems Administration: Website, Research outputs, IE PeopleSoft database, ClickUP, Access & Course Create, BB Integration, Access Staff, Textbook orders etc.
  3. Occupational Health and Safety: First Aid Responder.
  4. Finances and Conferences: Travel Authorisations, Ad hoc Purchase Orders, Liaise with suppliers/vendors registration, Processing acquisitions, Expense Reports, Water dispenser etc.
  5. ECSA Accreditation Visits Assistance;
  6. Events Management: Prize giving Function, Projects Evening Assistance etc.
  7. Test Weeks & Examinations: logistic Arrangements etc.

Minimum Requirements

  1. Grade 12 with 4 years of relevant experience and/or National Diploma with two years of relevant experience;
  2. Appropriate language and communication skills;
  3. Experience in office administration and secretarial duties;
  4. Worked as a PA or administrative officer.

Required Competencies (skills, Knowledge And Behavioural Attributes)

  1. Knowledge and experience in budgetary Control;
  2. Skills in computer-based systems (e.g., PeopleSoft, ClickUP, webpage development);
  3. Skills and experience in MS Office software;
  4. Office administration and secretarial duties;
  5. Good Communication skills;
  6. Ability to work under pressure;
  7. Time Management (Prioritise).

Added Advantages And Preferences

  1. Bachelor degree or Diploma including accounting;
  2. 3 years' experience;
  3. Basic knowledge of industrial engineering.

PLEASE NOTE: All shortlisted candidates may be required to participate in relevant skills assessments as part of the selection process. The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines.

UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
