Department : Media Sales
Reports to : Media Owner Barter Planners
Location : Hybrid – Work from home, 1 day in-office per week

Mission for This Role: To support the media sales team by keeping campaigns and admin tasks on track.

Help the Media Owner Account Managers deliver smooth, effective campaigns and strong media partner relationships by managing all related admin and coordination.

  1. Campaign Tracker Up-to-Date: % of live campaigns are accurately tracked and updated within 24 hours of any schedule change.
  2. Assets Sent On Time, Every Time: Creative materials are collected and shared with media owners within agreed timelines, with 0 missed deadlines.
  3. Proof of Flighting Collected Promptly: 95% of PoF documents are collected within 2 weeks of a campaign going live.
  4. Media Presentations Ready Before Meetings: All proposals and schedules are formatted and delivered in client-ready presentations 24 hours before meetings or deadlines.
  5. Clean and Current Media Partner Records: Media partner info is updated weekly. Contact details, campaign notes, and communication logs are accurate and complete.

Key Responsibilities

  1. Sales Administration & Campaign Execution
  2. Keep the campaign tracker updated daily.
  3. Chase creative material from clients, ensuring it's formatted correctly and shared with media owners on time.
  4. Check that campaigns go live on schedule and alert the team if there are issues.
  5. Collect proof of flighting and flag any missing or delayed media.
  6. Help compile campaign feedback reports with the Operations Manager.
  7. Turn media proposals into neat, client-ready presentations.

  2. Help research and plan media strategies.
  3. Do admin tasks related to media plans and deals.
  4. Help with following up on deal closures and keeping media plans moving.
  5. Update media partner contact lists and campaign notes.
  6. Research new media owners and get the right contact info for decision-makers.
  7. Help coordinate timelines and next steps with media partners.

Experience & Qualifications

  1. 2+ years in sales admin, media planning, or a support role.
  2. Good at Microsoft Office (Excel, Word, PowerPoint).
  3. Experience in the media or advertising world is a big plus.
  4. Able to work from home independently and keep things moving.
