Provide administrative support to both Commercial Sales Manager and the sales teams.
To serve as a point of contact for dealers with queries about products, orders, warranties, payments, M&R contracts, and provide support for sales representatives.
Key Performance Areas:
Maintain an Accurate Database of Customer and Prospect Information (CMDW)
Create customer account
Change and modify customer accounts
Add credit limit
Process Paperwork
Receive tax invoices from dealers and suppliers
Send invoices to Finance for payment
Process Good Receive Note (GRN) on SAP
Follow-up on payments with Finance (Iveco Capital)
Manage and Submit Invoices to the various Gov department for payment
Receive credit note requests from the dealer or sales team
Prepare the credit note
Obtain signatures from Heads, Financial controller and the sales team
Handover to finance for processing
Process Purchase Orders
Receive requests from sales and marketing team
Process requests from both the sales and marketing team
Follow-up on the approval process with Commercial Sales Manager, Finance and Purchasing
Review tender details with the responsible salesperson to determine a tender response strategy
Ensure that all relevant documentation for the tender is complete and accurate
Attend tender briefings / training
Ensure that all tenders meet all relevant specifications and are compliant with the client requirements
Assist with managing the tender submission through its entire cycle
Receive and deal with inquiries from colleagues and clients concerning tenders
Requirements:
Grade 12
Diploma / Degree in Administration, Marketing advantageous
Excellent communication skills (verbal and written)
Proficiency in MS Office (MS Excel, MS PowerPoint, MS Word, etc.)
Excellent time management
Good administrative skills with special attention to detail
South African unemployed YOUTH aged between 18 and 34
Must not have taken part on the YES Programme before
Enjoys interacting with people and would feel comfortable communicating with suppliers and customers as well as staff
Establishes and maintains effective relations with customers and gains their trust and respect.
