Our client, a well-known Property Investment Company based in Kuils River, is searching for a Property Administrator with at least 2 - 4 years relevant experience in a similar role within a commercial property management environment to join their dynamic team. You will report directly to the Property Manager. This role involves managing an existing rental book, invoicing tenants, coordinating maintenance requests, liaising with landlords, and ensuring lease agreements are up-to-date. The ideal candidate will have strong administrative skills and a proactive approach to problem-solving. While prior property experience is beneficial, it is not essential.
You will be responsible for but not limited to:
- Rental Management: Oversee an existing rental portfolio, ensuring smooth operations and excellent service to both landlords and tenants.
- Invoicing & Financial Administration: Prepare and send rental invoices, follow up on payments, and ensure financial records are maintained.
- Tenant & Landlord Liaison: Serve as the primary contact for tenants and landlords, addressing queries and resolving issues efficiently.
- Maintenance Coordination: Receive and action maintenance requests, liaise with service providers, and ensure timely resolution.
- Lease Administration: Conduct lease checks, process renewals, draft new lease agreements, and ensure compliance with legal requirements.
- Credit Checks & Tenant Vetting: Perform due diligence on prospective tenants, including credit and reference checks.
- Reporting: Prepare and present rental reports to management and landlords, detailing occupancy, arrears, and maintenance updates.
- General Administration: Maintain rental records, update databases, and handle correspondence related to rental agreements.
- Liaising with municipalities and contractors/suppliers: Where required, assist with data processing as and when needed.
Education / Requirements:
- Matric / Grade 12.
- Relevant tertiary qualification will be advantageous.
- Minimum of 2 – 4 years’ experience in the property administration field, and/or data capturing.
- Computer literate in MS Office (Word, Excel, Outlook) & proficiency with MDA software.
Skills:
- Excellent attention to detail.
- Good communication skills, well-organized, able to function independently, detail-oriented, and problem assessment.
- Effective verbal and written communication (Afrikaans & English).
- Effective telephonic communication skills.
- Strong organizational and administrative capabilities.
