The role reports to the Staff Advocacy and Volunteerism portfolio manager and works closely with the Staff Volunteerism Administrator and CSI team. The role will be accountable for developing, managing, coordinating, networking, implementing, and monitoring the staff advocacy and volunteerism strategy and associated products and activities on an ongoing basis with internal and external stakeholders, with the objective of promoting awareness, understanding, support, and respect for the clients' staff advocacy and volunteerism strategy, priorities, and programmes.
POSITION INFO: Responsibilities
- Support overall coordination of the Staff Advocacy and Volunteerism portfolio which translates into the successful delivery for increasing the volunteering numbers, growth, and work to shape and improve the whole volunteer journey from recruitment to induction and implementation.
- Accountable for engaging with staff to determine the pipeline of demand for applications and develop and maintain the Road Map in response to changing business needs.
- Convert that pipeline into transparent, agreed business priorities encompassing both programs and projects, and small changes/enhancements.
- Coordinate the implementation of advocacy strategies and plans, working across teams with the marketing and communication leads to effectively coordinate implementation of a range of advocacy tactics, such as developing advocacy briefs and shaping creative activations to drive staff and volunteers' engagements and participation.
- Support the Head of Staff Advocacy and Volunteerism to monitor portfolio development progress against strategy and budgets, identify risks to ensure quality delivery of programmes and initiatives across the business.
- Responsible for the overall planning, implementation, and management of the portfolio as well as the achievement of the goals and objectives of the Staff Volunteerism strategy in a timely and cost-effective manner.
- Keep abreast, research, benchmark, introduce, and implement good and cutting-edge practices on staff advocacy and volunteerism, institutionalize and disseminate good practices and lessons learned.
- Provide technical guidance to implementing partners, volunteers, cluster and regional leads, and other stakeholders as warranted with regards to the design and implementation of staff advocacy and volunteerism activities to meet the intended results.
- Cultivate successful relationships and ensure programmatic integration in a cross-cutting manner that leads to synergy between various staff volunteerism activities and accomplishment of development objectives outlined in the Green Economy strategy.
- Collaborate with strategic stakeholders, implementing partners, and volunteers to share experiences and emerging best practices.
2. Networking and partnerships
- Help establish, document, review, and refine the process of working collaboratively with partners and volunteers, including meetings, monthly reports, joint projects, information sharing, etc.
- Identify opportunities to strengthen the capacity of volunteers through appropriate advocacy and communication training, access to information, supplies, and equipment, and through knowledge sharing.
- Monitor, evaluate, and share results and findings with volunteers, committee, and other decision-making structures.
3. Events and Activation coordination
- Help to establish, document, review, and refine the process of working with volunteerism events, including special events, staff activations, field trips, etc.
- Plan activations including preparing information materials (e.g., programme summaries, fact sheets, and media kits), and necessary logistic arrangements. Highlight the achievements of the staff volunteerism programme.
- Conduct end-to-end event management to include proposing agenda topics, identifying and proposing participants, preparation of background documents and presentations, handling logistics, etc.
- Develop a work plan for volunteerism activities, monitor compliance, and provide support and guidance to ensure objectives are met.
4. Monitoring, Evaluation, and Reporting
- Monitor and evaluate portfolio activities through site visits, reporting, and trends analysis, as well as facilitate the development of work plans and reviews performance reporting.
- Coordinate the provision of timely and quality reports to Trustees meetings, committee meetings, company reports, and provide inputs to other documentation and presentations of the portfolio.
