VACANCY

Project Administrator

PURPOSE OF THE POSITION

The Project Administrator is responsible for ensuring that administration in the Engineering Department is effectively carried out and budget is spent within the planned timeframe; ensuring adherence of all processes around administration and budget to the Company’s Policies and Procedures; while the incumbent adopts basic management’s requirements, i.e. Planning, Organising and Controlling.

KEY RESPONSIBILITIES

  • In charge of administration duties in the department.
  • Scheduling of meetings, workshops and booking rooms or venues.
  • Recording and distributing minutes for projects meetings.
  • Assist Project Managers and Project Coordinators in typing up letters and reports.
  • Ordering material and equipment supplies.
  • Control budget on internal control sheet and spreadsheet.
  • Creating invoices and submitting to Clients.
  • Liaising with Suppliers, Contractors and Clients for invoices, payments and/or queries.
  • Liaising with staff in other departments, e.g. Finance, HR, Tender.
  • Dealing with queries on the phone and by email.
  • Keep records of all quotations, payment evaluations, invoices and certificates.
  • Coordinate logistical needs and needs of new staff.
  • Arrange functions and team sessions.
  • Preparing, organising and storing information in paper and digital form.
  • Provide administrative support to Project Managers and Coordinators by monitoring projects filing ensuring that reports and other documents are filed accordingly.
  • Maintenance of folders on one drive (Engineering folder) for effective filing purposes and accessibility of information to the department.

REQUIREMENTS

  • Grade 12 and 2 Years National Certificate in Project Management or equivalent NQF Level 5.
  • Minimum of 2 years’ work experience in administrative support roles, preferably in Project Management.
  • Driver’s License would be advantageous.

COMPETENCIES

  • Proficiency in MS Office.
  • Strong Knowledge of Project Management principles and practices would be advantageous.
  • Understanding of Policies and Procedures of the organisation.
  • Ability to multitask and prioritize tasks effectively.
  • Ability to work under pressure and prioritize tasks.
  • Ability to work independently and self-reliant.
