FREIGHT FORWARDING OPERATIONS
Transport Distribution Supervisor M / F
Contract: PERMANENT
Location: Africa, South Africa, JOHANNESBURG
Job Purpose: To supervise the transport team and ensure operational requirements are achieved.
Job Function:
- Confirm bookings with clients & suppliers.
- Track shipments and update clients, files & tracking reports on every step of the shipment.
- Follow up on PODs and filing accordingly.
- Request and negotiate lowest rates from suppliers.
- Ensure customer satisfaction through professional and on-time deliveries.
- Efficient communication to the relevant parties regarding deliveries and collections.
- Ensure maximum utilization of AGL's fleet to maximize profitability.
- Manage internal relationships to achieve organizational goals.
- Log customer complaints to continuously find ways to improve customer service.
- Ensure client queries/complaints are responded to via email with efficiency and accuracy.
- Communicate with customers & AGL Commercial Team about freight details, delivery times, and special handling requests.
- Follow up with suppliers, obtain reports, and update internal and external clients.
- Ensure operational statistics are kept to standard and up to date.
- Ensure the TD team captures all data accurately on all systems used.
- Monitor the TD Team that all required tasks are followed with each shipment.
- Confirm draft invoices on Pegasus after inspecting that all details are correct.
- Responsible for the efficient and safe scheduling/execution for TD's logistics and dispatch.
- Monitor that all TD admin tasks executed by the TD Team are followed through accordingly.
- Ensure TD team complies with South African Occupational Health and Safety Act regulations and requirements.
- Manage all relevant control sheets and data is captured on time.
- Ensure vehicles are dispatched on time.
- Register files on internal system – Pegasus.
- Check that documentation is correct in accordance with cargo loaded and vehicle registration/details provided by transporter.
- Handover of correct documentation to the responsible transporter/AGL Driver.
- Closing of files on Pegasus and internal systems in accordance with the KPIs.
- Economical and timely scheduling/ordering of common carriers for nationwide shipments.
- Ensure the correct cargo is collected and/or delivered.
- Ensure that PODs are handed in immediately after deliveries and emailed through to the correct parties.
- Ensure hazardous chemical regulations are met when transporting Hazchem products.
- Ensure special loading equipment is arranged when transporting cargo requesting special lifting equipment.
- Ensure correct documentation is handed over by the controllers.
- All files to be registered immediately upon receiving documents/cargo.
- Ensure all documents are completed correctly and ready for dispatch prior to booking a vehicle.
- Inform all parties when utilizing subcontractors.
- Creating purchase requests on Precoro once management approves supplier quote.
- Ensure no truck is dispatched for a CIA client until proof of payment is received from client.
- Ensure that drivers' schedule and working hours are monitored.
- Run a daily invoice performance report with active files.
- Keeping track of transportation regulations and laws to ensure truck drivers comply.
- Authorize supplier invoices, stating file number, line, and amount next to approval signature.
- Ensure vehicle inspections are completed daily and are monitored.
- Ensure that communication and updates persist with supplier truck mechanics regarding required fleet maintenance and repairs.
- Immediate reporting of any incidents or accidents to management.
- Ensure that any other department tasks and requirements given by management are adhered to.
Minimum Education and Experience Requirements:
- Matric.
- Minimum 5 years' experience in handling and management of fleet/transport.
- Microsoft knowledge - Excel, Outlook, and Word.
- Pegasus knowledge is a must.
