Job Description:
Manage the day-to-day office tasks of the Financial Manager. Assisting in various projects as well as dealing with all secretarial and administrative tasks.

Position: Personal Assistant to Financial Manager
Industry: Transport / Logistics
Location: Pretoria North - Gauteng, South Africa
Salary: Market related
Start Date: 1 February 2025

Requirements and Qualifications:

  • Grade 12 (required)
  • Afrikaans and English
  • Relevant Diploma in Office administration / Business Administration / Secretarial Support (an advantage)
  • 3-5 Years Minimum Experience in an administrative support role
  • At least 2-3 years’ experience as an FM assistant
  • MS Office Suite
  • Pastel (Accounting and Payroll)
  • Diary Management

Responsibilities:

  • Manage the day-to-day office tasks.
  • Monitor, screen, respond to and distribute incoming communications.
  • Setting up of telephone or video conferences.
  • Schedule and participate in meetings and provide accurate records, transcribe, and distribute minutes of meetings.
  • Drafting, reviewing, and summarizing of presentations and documents.
  • Organize corporate events, book venues for meetings and organizes refreshments.
  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Prepare monthly expense reports.
  • Manage multiple projects simultaneously.
  • Assist with the management of Head Office payroll.
  • Load payments for release.
  • Handle insurance claims.
  • Liaise with other stakeholders to coordinate meetings.
  • Provide confidential secretarial support.
  • Support Financial Manager with compliance to company policies and keep abreast of policy changes.
  • Ability to maintain confidentiality surrounding company materials and information.

Skills Required:

  • Demonstrated ability to work with a high level of initiative to tight deadlines and provide innovative thinking around administration.
  • Able to work in a fast-paced environment.
  • Working under pressure.
  • Deadline driven.
