Personal Assistant to the Director East London
Key Responsibilities
- Provide administrative and executive assistance
- Office administrative, secretarial or equivalent assistance
- Manage, coordinate and maintain the diary of the Director
- Coordinate all aspects of meetings, workshops, and functions according to Director’s requirements and within budget parameters
- Prepare administrative documents, presentations, and minutes within agreed timeframes
- Manage incoming calls and correspondence (paper and electronic), responding independently where possible
- Ensure files (paper and electronic) are organized and easily accessible by the Director
- Prepare and check invoices and arrange for payments to ensure adherence to Service Level Agreements
- Monitor and respond to incoming communication on behalf of the Director, ensuring efficiency and timely responses
- Familiarity with the litigation lifecycle and ability to diary files for actioning accordingly
- Perform executive and oversight tasks in the absence of the Director and analyze data to monitor the performance of others
- Receive and execute instructions from the company’s professional staff
Minimum Requirements
- Valid driver’s license
- Must be fluent in English (able to speak or equivalent qualification)
- Fluency in isiXhosa would be an advantage
- Must be organized
- Ability to work independently
- Strong written and verbal communication skills
- 3 years previous working experience in a legal environment
- Exposure to supporting a director of a law firm (desirable)
