Personal Assistant (Remote)

Working Hours:

Full-Time: 11AM - 10PM US Time (Remote)

We are seeking an exceptionally dedicated, reliable, and detail-oriented Personal Assistant to support a high-level executive in a demanding and fast-paced environment. This is not just a role; it's an opportunity to become an integral part of a growing operation, supporting someone with high standards and expectations who is deeply invested in the growth and success of their team.

The role begins as part-time with the potential to transition into full-time hours. Ideal candidates will be committed to understanding the executive's processes and preferences, following instructions meticulously, and delivering excellent results consistently. You will need to operate as the executive's second brain, seamlessly managing tasks, documents, appointments, and communication throughout the day.

Key Responsibilities:

  1. Attend daily meetings first thing to align priorities before starting the day.
  2. Serve as the primary point of support, assisting with managing calendars, scheduling appointments, and organizing documents and files.
  3. Act as a reliable backup for the current assistant, ensuring seamless workflow and coverage.
  4. Follow instructions to the letter and execute tasks in the executive's preferred way.
  5. Support the management of 5 major B2B client accounts, ensuring flawless execution of tasks without errors (zero tolerance for typos or oversights).
  6. Create and manage professional emails in client email systems, maintaining meticulous attention to detail.
  7. Stay organized and on top of multiple tasks while providing updates and ensuring timely follow-through.
  8. Handle content creation tasks with some independence. While training will be provided, prior experience creating engaging and polished content (social media posts, email updates, etc.) is highly preferred.
  9. Be proactive in problem-solving and anticipate needs to enhance productivity.
  10. Assist in managing a team of up to 40 people, helping coordinate communications, updates, and action items.

Requirements:

  1. Dedication and Reliability: Must treat the role with utmost seriousness and commitment. Last-minute absences or interruptions are not acceptable.
  2. Detail-Oriented: Able to manage intricate tasks and ensure nothing falls through the cracks.
  3. Experience: Prior experience as a Personal Assistant, Executive Assistant, or similar role is preferred. Experience in content creation is a strong advantage.
  4. Adaptability and Growth-Mindset: Willing to be trained and grow with the executive. High standards will be met with support and development.
  5. Communication Skills: Ability to draft professional and error-free emails and content.
  6. Organizational Skills: Skilled at managing schedules, tasks, and priorities efficiently.
  7. Tech-Savvy: Comfortable using email systems, content creation tools, and other productivity software.
  8. Commitment to Confidentiality: Must handle sensitive information with discretion and professionalism.
