An exciting opportunity has arisen for a Personal Assistant to join a reputable, established Law firm.
This role is ideal for an individual who is highly detail-oriented and organised, with a keen eye for ensuring everything runs smoothly in a fast-paced professional environment.
Key Responsibilities:
Client RFP Submissions and Tender Requests: Manage and coordinate submissions for client RFPs and tender requests with accuracy and attention to detail.
General Administration: Assist with general administrative tasks as required, ensuring the efficient running of the office.
Policy Document Drafting: Assist in drafting and compiling important policy documents.
Social Committee Support: Help arrange and coordinate functions and events for the Call Centre Social Committee.
Time Management: Provide timely reminders of meetings, deadlines, and other crucial events to keep the executive on track.
Executive Follow-ups: Ensure that tasks and responsibilities assigned to the executive are progressing and completed within the required timelines.
Travel Coordination: Organise travel logistics, including flight bookings, hotel accommodations, and transportation, ensuring all travel requirements (insurance, documentation, etc.) are met.
Itinerary Management: Prepare comprehensive itineraries for the executive, ensuring all necessary information is readily available.
Event / Functions Coordination: Manage event logistics, including venue selection, catering, décor, and guest lists, and oversee the execution of events to ensure everything runs smoothly.
Marketing and Presentations: Create engaging presentations, marketing materials, and reports using Canva for corporate communication.
Finance Support: Collect receipts and supporting documents for claims submission, liaise with the finance department, and track the approval process.
Maintenance Coordination: Manage maintenance requests and ensure competitive pricing and service delivery for general orders, quotations, and ongoing maintenance work.
Requirements:
Tertiary qualification preferred.
Highly detail-oriented with exceptional organisational skills.
Ability to work independently, managing multiple tasks and priorities.
Strong communication and interpersonal skills.
Proficiency in Canva or similar design software.
Strong problem-solving and time-management abilities.
