Job description

Join to apply for the Personal Assistant role at Architectural Services. Reporting to the Regional Manager - Gauteng South and Central, the above position is vacant at our Gauteng South region.

The overall purpose of this position is to provide assistance with administrative responsibilities to the Regional Manager.

Minimum Requirements

  1. Clear criminal record
  2. Grade 12 certificate or equivalent
  3. Higher qualification in office administration / public relations is advantageous
  4. Computer literate and proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  5. At least 2 years' administration experience
  6. Excellent verbal and written communication skills
  7. Driver's license is advantageous
  8. Willing to work extended hours on request
  9. Ability to work under pressure and meet strict deadlines

Key Performance Areas (not Totally Inclusive)

  1. Performing administrative tasks
  2. Answering and screening all incoming calls, transferring calls to the appropriate source where applicable, and taking messages
  3. Dealing with correspondence, escalating enquiries, compliments, complaints, and providing feedback to management and clients as required
  4. Handling requests and queries appropriately
  5. Assistance with preparing, maintaining, updating, and filing of various branch reports
  6. Coordinating meetings and taking meeting minutes
  7. Diary management, scheduling appointments and events, running errands
  8. Arranging access, screening, and receiving any visitors to the Branch Manager's office, ensuring visitors are comfortable and refreshed
  9. Ordering, collecting, and issuing of uniform
  10. Assisting with general office enquiries and office tasks as required by the Branch Manager
  11. Acting as the liaison between the executive and clients, team members, and other stakeholders
  12. Strong interpersonal skills and the ability to build relationships with various stakeholders
  13. Flexibility to adapt to changing priorities
