Job description
To convert a mixer design into a piece of mechanical equipment that:
Satisfies the clients’ process and mechanical requirements.
Makes the budgeted profit for the company and is delivered on time.
The contracts engineer is responsible for the entire contract from beginning to end. Although other departments are involved in the delivery of components and/or services for the contract, it is the specific responsibility of the contracts engineer to ensure that these functions are performed according to engineered instructions.
Roles, Responsibilities and Authorities
Check all documentation issued by the Managing Director and Engineering manager for the new contract and scrutinise the order by asking the following before or during handover meeting with Sales. Also ensure that the Datapack is complete and provided with order handover.
Has the client ordered what was bid on?
Go through the marked-up specification provided by the Sales Department to ensure that you are aware of the requirements pertaining to the supply of the purchased items.
Does the delivery date comply with our offer?
Are goods delivered or ex works?
Do we need to do a credit check on the client?
Are terms of payment correct?
Has the client added anything that was not specified e.g., penalty clause, performance bond, etc.?
Are there any client specifications that need to be adhered to?
Where in the world is the order going to be used?
Closed tanks: ALWAYS REQUEST TANK DRAWING. Sales must confirm the following (If they cannot, return the file to them until they have confirmed it):
Will the mixer fit into the tank?
Bolted blades: Will the hubs fit through the opening?
Welded blades: Will the impeller fit through the opening?
Which nozzle will the mixer shaft be installed through?
Once inside the tank, can the shaft be angled to go through the seal (if present)?
If the mixer is entering at an angle, the mixer will not work if the impeller is on the centre of the tank.
Ensure all customer quality inspection requirements are identified at handover stage.
Update enquiry drawing.
Generate standard drawing approval request or acknowledgment.
Complete the order acknowledgment for where orders are received from sister companies.
Find out from the accounts section the type of account that the customer holds to determine if a pro-forma invoice is to be sent with the approval documentation.
Submit invoice (if applicable), approval request and drawing for customer approval.
Follow up with the customer on pro-forma payments.
Comply with clients document control procedure and submit documents as required/requested.
Receive approved drawing and proof of payment (if applicable); Get QCP approvals – preferably simultaneously with drawing approval and payment.
Ensure that costs are correct before proceeding to purchase. Establish whether the exact budgeted cost for each item on the job costing sheet is correct and whether there may be an incorrect or outdated cost that was used in the Mixercal system. Notify the sales engineer if there are any cost discrepancies. Notify the Managing Director and Expeditor if Mixercal costs are incorrect.
Engineer the job by producing detailed design drawings and issuing orders timeously with realistic delivery dates for both manufactured and purchased items. Check the workload on the suppliers to determine your delivery dates using the MIXTRAC System. Issue components from stock.
Issue information required by works to ensure the correct assembly, painting, and packaging of each item.
Provide additional details and drawings as may be required by the customer.
Attend kick-off meeting as required.
Update serial number book on the MIXTRAC System.
During the manufacture process, the contracts engineer is responsible for:
Ensuring compliance with specifications and standards.
Keeping track of progress and taking follow-up action to ensure delivery is met.
Provide constant feedback to the customer regarding their order. Late deliveries must be communicated well in advance.
Interact and communicate with customers in a professional manner.
Notify sales of any delays.
Take the necessary action to correct discrepancies identified by the inspectors or SHEQ manager.
Ensure contract specific quality inspection requirements are clearly captured on company purchase orders.
Review contract quality documents received from suppliers to ensure that it is correct.
Communicate to works any information required by them.
Provide Manuals (Mandatory) and data books (If required).
Qualifications:
Certificate / Diploma in Mechanical Engineering
AutoCAD / SolidWorks / Equivalent
Skills & Competency
Mechanical Skills.

Ability to work in high-stress conditions and quickly changing environments.
