Payroll Manager

Job Description:
Overall responsibility and accountability for payroll support services with the primary goal of running efficient and accurate payroll support hubs.

Minimum Requirements:

Experience:

  • AX and D-Bit systems experience and sound knowledge essential
  • Payroll experience essential with at least 5 years in management roles
  • TES industry payroll experience advantageous

Education:

  • Grade 12 and a tertiary Accounting qualification essential

Roles and Responsibilities:

  • Reduce the incidence of payroll errors by monitoring error reports and streamlining processes.
  • Address challenges regarding timesheet information received from operations and provide recommendations on streamlining.
  • Manage project activities related to system changes, including data collection, analysis, manipulation, and interpretation.
  • Oversee the coordination of timesheets for respective Distribution Centres.
  • Balance and check payroll to ensure accuracy.
  • Print reports from the payroll system for verification.
  • Ensure all journals are posted before the payroll deadline.
  • Compile monthly payroll reports as required for Operations and Management.
  • Coordinate and organize all activities in the payroll department.
  • Ensure compliance in all areas of payroll (deadlines, commercial, and legislative requirements).
  • Manage compliance and submission of all costing modules, including effecting rate changes, allowances, and deductions.
  • Handle all adjustments and reversals as needed.
  • Manage the invoice process, ensuring timely resolution of queries.
  • Develop and review detailed Standard Operating Procedures.
  • Engage with relevant stakeholders to drive the reduction of payroll errors.
  • Control all benefit payments and year-end reconciliation of bonus and leave payments.
  • Oversee the bonus process, ensuring accuracy in reports and payments.
  • Ensure adherence to minimum wage requirements and update according to annual increases and legislative changes.
  • Maintain the integrity and accuracy of all formulas in the costing template.
  • Liaise with Operations to ensure compliance with non-standard and client-specific templates.
  • Adjust costing SOP elements based on required authorization.
  • Source reporting data for business decisions as needed.
  • Report on leave and sick leave balances.
  • Distribute monthly Red Flag payroll accuracy reports and engage management on improvement initiatives.
  • Collaborate with Management to refine and improve current processes.
  • Develop and distribute dashboards providing an overview of payroll efficiency, including processing volume vs cost structure and accuracy indicators.
  • Ensure effective distribution of payslips in conjunction with the HR Officer.
  • Maintain an updated set of payroll-related SOPs and ensure stakeholder understanding.
  • Ensure adherence to all payroll-related policies.
  • Act as the contact person for all internal and external audits as required.
  • Monitor payroll-related activity and highlight trends to management that may present future business risks.
  • Establish a positive work environment that fosters commitment, motivation, productivity, and optimal retention of staff.
  • Manage and coach direct reports daily.
  • Ensure adherence to all HR policies, processes, and SOPs.
  • Implement performance management, talent development, and succession planning processes with individual development plans for each employee.
  • Ensure team members are trained and developed to fulfill their roles and promote a learning culture.
  • Coordinate any training requirements for the payroll team to enhance efficiency.
