Administrative support – provide general administrative and secretarial support.

  1. Preparing correspondence and presentation material, drafting emails and letters, prioritising documents and providing general assistance to the Chief Financial Officer.
  2. Providing general and administrative support to the Finance Department.
  3. Provide basic budget administrative support and manage the Chief Financial Officer’s expense claims.
  4. Manage information flow in a timely and accurate manner.
  5. Assume responsibility for secretarial support for the organisation’s Audit and risk committee (ARC) meetings and pursuant actions required.
  6. Provide donor proposals/applications with standard information and document management.
  7. Basic review of finance documents.
  8. Preparation of weekly receipts and compiling 18A certificates where required.
  9. Coordinate and manage the Chief Financial Officer’s calendar.
  10. Schedule meetings, appointments, and other activities to optimise the Chief Financial Officer’s time.
  11. Manage meetings with internal staff and external parties (e.g., Banking and investment parties, auditors, internal auditors, etc.) and take minutes of meetings.
  12. Stakeholder management.
  13. Maintain and build key relationships with internal and external stakeholders.
  14. People Growth: Demonstrate values and drive own development to ensure personal growth.
Qualifications:
  1. This position requires a strong background in the administrative/secretarial field.
  2. A personal assistant or executive assistant diploma will be beneficial.
  3. Experience of at least two years as an executive personal assistant.
  4. Working experience in basic accounting will be beneficial.
  5. Working experience in project management environment and project administration.
  6. Good experience coordinating executive-level meetings.
  7. Excellent use of English and Afrikaans: oral and written for writing, copywriting and editing.
  8. Proficiency in MS Office, including Outlook and digital capabilities.
  9. Quality orientation with attention to detail for high levels of accuracy.
  10. Strong capability to multitask, organise, prioritise, and streamline tasks.
