Job Title: Order & Administrative Assistant

Location: Illovo
Job Type: Full-Time/Part-Time

Job Summary:
We are seeking a reliable and organized Order & Administrative Assistant to manage and attend to all online orders, assist with other order-related tasks, and support administrative functions for our vape store . This role is crucial in ensuring smooth and efficient operations, providing excellent customer service, and maintaining our store's reputation.

Key Responsibilities:

  • Order Management:
  • Monitor and manage all incoming orders, ensuring timely and accurate fulfillment.
  • Coordinate with the store team to ensure orders are prepared and packaged correctly.
  • Track and resolve any issues related to orders, including delays, customer complaints, and returns.
  • General Order Assistance:
  • Assist with the processing and management of other online orders or deliveries as needed.
  • Liaise with delivery partners and customers to provide updates and handle inquiries.
  • Administrative Support:
  • Manage the administrative tasks related to the vape store's presence, including inventory management, updating product listings, and maintaining accurate records.
  • Assist with customer inquiries and support through various communication channels.
  • Prepare and maintain reports related to order volume, customer feedback, and sales performance.
  • Customer Service:
  • Provide excellent customer service by addressing customer inquiries, resolving issues, and ensuring a positive shopping experience.
  • Handle any order-related complaints professionally and in a timely manner.
  • Other Duties:
  • Support other administrative tasks as required, including data entry, scheduling, and general office duties.
  • Contribute to team efforts by accomplishing related tasks as needed.

Qualifications:

  • Previous experience in order management, customer service, or administrative roles is preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and work in a fast-paced environment.
  • Proficiency in using basic computer applications (e.g., Microsoft Office).
  • Reliable, punctual, and able to work independently.
