Job Description

  • The Online Team Leader is responsible for overseeing and managing the outbound operations in a distribution centre. This includes supervising the picking, packing, and dispatching of goods to customers or retail locations. The role requires strong leadership skills to manage a team effectively, ensure that daily operations are running smoothly, and meet performance targets for accuracy, timeliness, and efficiency. The Online Team Leader also plays a critical role in ensuring that all online logistics processes comply with company policies, safety standards, and customer satisfaction expectations.

Key Responsibilities:

Team Leadership and Management:

  • Supervise and lead a team of outbound workers, including pickers, packers, and dispatch staff.
  • Set daily goals and performance targets for the team, ensuring alignment with overall business objectives.
  • Monitor team performance and provide regular feedback, coaching, and performance reviews to encourage development.
  • Maintain high morale and a positive work environment to enhance team motivation.
  • Organize training sessions for new employees and ensure the continuous development of existing team members.

Outbound Operations Oversight:

  • Oversee the outbound processes, including order picking, packing, and dispatching of goods.
  • Ensure orders are accurately picked according to customer specifications and packed in line with safety and quality standards.
  • Ensure that all outbound products are dispatched in a timely manner and meet the deadlines for delivery to customers or stores.
  • Optimize workflows within the outbound department to ensure efficiency and minimize delays.

Inventory Management:

  • Monitor inventory levels to ensure products are available for order.
  • Work closely with the inventory control team to resolve any discrepancies or issues with stock levels.
  • Ensure that all outbound stock is properly tracked, with accurate records maintained at all stages of the outbound process.

Quality Control:

  • Ensure that outbound orders meet quality standards, including correct product labelling, packing, and shipment.
  • Perform quality checks on products to prevent the dispatch of damaged or incorrect items.
  • Handle customer complaints or returns related to outbound shipments and work with the relevant teams to resolve any issues.

Operational Efficiency and Reporting:

  • Monitor key performance indicators (KPIs) for the outbound department, such as order accuracy, order fulfilment time, and shipping efficiency.
  • Provide regular reports to senior management regarding outbound operations, highlighting any performance issues or areas for improvement.
  • Implement process improvements based on data analysis, aiming to increase efficiency and reduce operational costs.

Health and Safety Compliance:

  • Ensure that outbound operations comply with health and safety regulations, including safe lifting practices, equipment usage, and warehouse safety.
  • Conduct regular safety checks and audits to ensure the warehouse environment is safe for all team members.
  • Encourage a culture of safety and ensure that all team members are aware of safety guidelines.

Problem-Solving and Issue Resolution:

  • Address and resolve any operational issues, such as discrepancies in inventory, delays in processing, or errors in order fulfilment.
  • Collaborate with other departments (e.g., inventory, logistics, customer service) to ensure issues are resolved swiftly.
  • Handle customer complaints related to the outbound process, ensuring customer satisfaction and timely resolutions.
  • Identify opportunities for process improvement within the outbound department and work with management to implement changes.
  • Stay informed of industry trends, tools, and best practices to continuously improve the efficiency and effectiveness of outbound operations.
  • Encourage team members to contribute suggestions for improving workflows and productivity.

Skills & Requirements:

  • Leadership and People Management Skills: Proven ability to lead and motivate a team, fostering a collaborative and productive work environment.
  • Problem-Solving and Analytical Skills: Ability to quickly identify problems in outbound operations and implement effective solutions.
  • Operational Knowledge: Knowledge of outbound logistics processes, including picking, packing, and shipping procedures.
  • Attention to Detail and Accuracy: High level of attention to detail to ensure orders are processed and dispatched accurately.
  • Time Management and Organizational Skills: Strong organizational skills to manage multiple tasks simultaneously, ensuring timely order processing and dispatch.
  • Health and Safety Awareness: Knowledge of workplace health and safety regulations, including safe handling of equipment and materials.

Qualifications:

  • A high school diploma or equivalent is typically required; a degree in logistics, supply chain management, or a related field is advantageous.

Experience:

  • At least 3-5 years of experience in outbound operations or a similar role in a retail or warehouse environment.
  • Previous experience leading a team is preferred, with a strong understanding of logistics and warehouse management.

Certifications:

  • Health and safety training or certification is beneficial.
