Job description

Requirements:

  • 3–5 years of Medical Secretarial experience (desirable).
  • National Senior Certificate
  • Previous experience working as a float Medical Secretary is preferred.
  • Prior knowledge of DGL Practice Manager and Meditech is advantageous.

Key Responsibilities:

Administrative & Clerical Duties:

  • Provide full secretarial support to Consultants, including audio-typing of clinical and non-clinical materials, reports, and correspondence.
  • Schedule patient appointments, manage doctors’ calendars, and coordinate the relevant department bookings (e.g., CT scans, X-rays).
  • Handle all phone calls, emails, and patient inquiries in a professional and timely manner.
  • Prepare and file medical correspondence, reports, and patient records.
  • Maintain accurate and organized filing systems for patient information, ensuring records are kept up to date and compliant with healthcare regulations.

Patient Coordination:

  • Greet patients and manage the check-in/check-out process, ensuring all information is verified and processed efficiently.
  • Collect and verify patient details, medical histories, and other required information for accurate record-keeping.
  • Process insurance claims and medical billing while adhering to protocols.
  • Ensure patient confidentiality and comply with healthcare regulations and patient rights.

Medical Record Management:

  • Update and maintain electronic health records (EHR) to ensure accurate, up-to-date information.
  • Coordinate and manage medical test results, referrals, and follow-up actions.
  • Transcribe doctors' notes and medical dictations accurately.

Liaison Between Medical Staff & Patients:

  • Assist doctors and nurses with administrative needs, ensuring the smooth operation of the medical office.
  • Communicate with laboratories, pharmacies, and other healthcare providers as required.
  • Liaise with other medical secretaries and departments to ensure the effective running of Out-Patient Clinics.

General Duties:

  • Receive and process new patient referrals, arranging relevant appointments across various hospital departments.
  • Respond to written and verbal queries from patients and relatives, escalating to consultants when necessary.
  • Undertake any other duties as directed by the Medical Secretary Manager, Deputy Medical Secretary Manager, or Supervisor.
