The Personal Assistant (PA) to the CEO and CFO will provide high-level administrative support to the executive team, inclusive of the DI / AT Team as well as the Vitro Management Team. This role requires a proactive and highly organized individual who can manage multiple tasks and priorities efficiently.
Duties and Responsibilities
- Administrative Support: Manage the daily schedules, appointments, and travel arrangements for the CEO and CFO, supporting the DI / AT team as well as Vitro management. Ensure that all meetings and events are well-organized and run smoothly. Manage and maintain executives' calendars, including scheduling meetings, appointments, and travel arrangements. Coordinate and prioritize daily tasks, ensuring deadlines are met. Handle confidential and sensitive information with discretion. Screen and manage incoming calls, emails, and other communications. Prepare correspondence as needed. Assist with preparing purchase requisition and goods receipt for supplier payment (SAP). Assist with expense claims (on Concur).
- Meeting Coordination: Prepare agendas, take minutes, and follow up on action items for executive meetings. Coordinate logistics for board meetings, conferences, and other events.
- Project Management: Assist with special projects and initiatives as assigned by the CEO, CFO, DI / AT, and Vitro management. Track progress and ensure timely completion of tasks.
- Confidentiality: Maintain the highest level of confidentiality and discretion in handling sensitive information.
- Office Management: Oversee office supplies and equipment, ensuring that the executive office is well-maintained and functional.
Qualifications & Experience
- Education: Bachelor's degree in business administration, Management, or a related field.
- Experience: Minimum of 5 years of experience in an executive assistant or personal assistant role, preferably supporting C-level executives.
- Skills: Excellent organizational and time management skills. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to multitask and prioritize effectively. High level of professionalism and attention to detail. Strong interpersonal skills and the ability to work well with diverse teams.
