Requirements
Be in possession of a Bachelor’s Degree/National Diploma in business or public administration (a post-graduate degree will be an added advantage).
Should have 5 years experience in administrative/secretarial support to Executive Management of high-level committees or high-level organisational committees.
A proven track record of working in a conservation and/or Tourism environment will be an added advantage.
Experience in drafting minutes and reports.
Working experience in manual and electronic filing systems.
Understanding of regulatory frameworks i.e. PFMA, Treasury regulations, SANParks policies and procedures.
Knowledge of administrative office procedures and systems.
Thorough knowledge of principles and processes for providing customer service.

Responsibilities
Develop annual meeting schedule/calendar for the Vision 2040 governance structures at all levels.
Provide secretariat services for governance structures relating to the implementation of Vision 2040.
Compile meeting packs for the governance structures and documents for relevant meetings.
Develop and implement a system to track decisions arising from meetings of relevant governance structures.
Provide effective end-to-end administration for the relevant governance structures.
Provide administrative support to the Vision 2040 Project Lead and Project Manager.
Coordinate logistics and travel arrangements for the Vision 2040 meetings, work sessions, briefings, site visits, and other events relating to Vision 2040 implementation.
Manage the logistics for stakeholder engagement meetings for Vision 2040 implementation.
Arrange meetings and related events for the Project Delivery Unit.
Coordinate the administrative operations and workflows, including composing a variety of reports, correspondence, presentations, guidelines, or related material.
Respond to queries and provide relevant information.
Ensure proper filing of all meeting documentation.
Perform financial, procurement, and other office administrative functions.
Maintain registers and meeting records.
Compile and translate data and information in order to provide and communicate information for decision-making and reporting.
Monitor budgets and reconcile expenses.
Coordinate maintenance requirements relevant to the work environment.
Oversee the preparation and management of information flow, including proactive liaison with senior management in delivering this strategic support function.
