Job description

The Manager, Auxiliary Services, is accountable to the Campus Director for strategically leading and coaching the management teams of the following services: Cleaning Services, Gardens and Grounds, Waste Management, Beverages, and Sports fields. The Manager is responsible for effectively managing employees, external service providers, processes, and activities involved in the provision of outstanding services at all University facilities under the umbrella of Auxiliary Services.

Responsibilities:
Leadership:
  • Create and maintain positive working relationships by establishing reasonable and mutually agreed-upon expectations that align with the Department’s mission and the University’s strategic plan.
  • Measure and evaluate the performance of direct reports through formal appraisals and informal methods such as regular feedback and coaching.
  • Establish strategies to identify development opportunities in direct reports and create development plans for employee growth.
  • Create and maintain an open-door policy to proactively resolve identified issues.
Budget Management:
  • Develop and manage the annual operating budget, manage expenditures, and ensure compliance with university policies for procurement.
Operations Management:
  • Overall responsibility for planning and developing strategies for the effective management of Auxiliary Services.
  • Cleaning-specific function: Ensure consistent cleaning standards and develop plans for managing end-of-term processes in all residence facilities.
  • Asset Management:
    • Manage site asset registers and ensure proper use and accountability of assets and equipment.
  • Stock management:
    • Ensure proper ordering, receipt, distribution, and record-keeping of chemicals and brushware.
  • Movers specific function:
    • Provide furniture and equipment for functions and events, and manage office moves.
  • Gardens and grounds specific function:
    • Evaluate performance through walkabouts and maintain job-specific equipment.
Project Management:
  • Manage and direct the coordination of multiple projects for the Auxiliary Services unit.
Contract Management:
  • Manage contracts with service providers to maximize operational and financial performance.
Client Management:
  • Ensure Service Level Agreements exist and are properly communicated with clients.

Minimum requirements

  • Degree or relevant qualification (NQF 7)
  • 3 years’ job-related experience
  • A valid driver’s license
  • Progressive management experience in a student-focused environment
  • Knowledge of relevant legislation related to Cleaning Services and Waste Management
  • Knowledge of Facilities and Operations management
  • Knowledge of Health and Safety requirements
  • Knowledge of Budget Management

Recommendations:
  • Experience with Oracle Management System and Archibus
