Maintenance of licence assignment records and reconciliation of allocation and usage, including any required internal or vendor reporting. Demand management of BAU queries to the ITAM team. Working with the ITAM lead to proactively review and improve processes and governance for Software admin activities.

Job Description

Job Title: IT Asset Manager

Department: Information Technology

Reports to: Head of Information Technology

Purpose of the Role: To manage and lead the Asset Management function and its people supporting the organization’s business requirements around all IT assets utilized. Provision, Movement, Allocation & Storage of assets within the organization. To provide periodic analysis of asset status via defined reports to management. Maintain an up-to-date accurate Asset database. Work with Procurement to manage all IT suppliers to ensure compliance.

Minimum Qualifications:

  • Matric / Grade 12 National Senior Certificate
  • Possess IAITAM Certification, such as CHAMP and CITAM

Preferred Qualification:

  • Vendor certification for Dell laptop RMA process
  • Microsoft Advanced Excel certification
  • ITIL Foundation
  • At least 5 years of experience supporting Asset Management in a large organization.
  • Strong knowledge of computer IT hardware from major brands like Dell, HP, Plantronics, etc.
  • 3 years or more experience managing staff
  • Experience working with an Asset Management Database
  • 5 years or more in ITSM tool experience
  • Proven ability and experience in executing strategic asset management processes successfully
  • Strong vendor management and negotiation skills
  • Strong knowledge of IT Service Management processes
  • Strong ability to carry out assigned tasks independently with little supervision

Duties:

  • Inventory Management for South Africa locations (Updating & Maintaining of Asset inventory on production floors & Stores)
  • Manage and maintain several stock rooms and ensure they are kept tidy and labelled and equipment is segregated into their respective areas.
  • Monitoring & maintaining the stock levels & update the asset database periodically. Ensure effective management of the Asset Database and that the content contained is accurate.
  • Provide accurate and up-to-date reporting.
  • Maintaining & monitoring IT assets inward-outward processes with business stakeholders.
  • Fulfilment of asset requests from business and IT stakeholders.
  • Maintaining SLA & measuring the SLA time to time. Response and resolution will be calculated on asset request.
  • Maintain, monitor & allocate IT peripherals like mobile phones, headsets, SIM cards, thin clients, etc.
  • Maintain receipt of goods and submission of GRN, Invoice, statements to Finance.
  • Submission of Asset reports to Finance/Procurement/Risk & Compliance as and when requested.
  • Manage and work with business stakeholders for asset returns as part of the Leaver process.
  • Support IT Operations Team for internal asset requests for BAU and projects.
  • Providing support for any new asset implementation, upgrades, changes or moves as required as per business requirement.
  • Facing Asset audits internal as well external like ISO 27001.
  • Managing suppliers in terms of quoting, deliveries, roadmaps and sourcing non-standard equipment.
  • Responsible for managing lifecycle of hardware and software models from their introduction to their retirement.
  • Ensure process efficiency by implementing the key performance indicators; suggest improvements to the process continuously.
  • Design processes relating to hardware asset management, execute and enhance them.
  • Establish and maintain documentation of procedures, processes, and reports concerning asset and configuration management.
  • Take part in other ITAM processes, or as required perform as a backup to maintain operational activities.
  • Create and execute governance and strategic asset management function.
  • Collaborate with infrastructure teams to determine trends in asset performance.
  • Perform research on industry best practice and incorporate it with organizational practices.

Supervisory Responsibility: This position will have supervisory responsibility.

Work Environment: This role operates in a large call centre office setting.

Physical Demands: Due to the nature of Asset Management, there will be some physical demands on managing a storeroom.

Position Type and Shift: This is a full-time position and requires you to be in the office. Days and hours of work 40 hours per week. Weekend work may be required as job duties demand.

Travel: Travel between Capita sites for asset management activities and to attend meetings.
