Job Purpose

Controls procedures to process the flow of Invoicing, costing, QC and splitting from the time that the invoice instructions are received until the file is closed off.

Qualifications

1. Matric
2. Relevant tertiary qualification essential
3. 3-5 years experience in a similar position
4. Working knowledge of Imports processes
5. Must be numerate

Competencies

Knowledge: Supply Chain knowledge will be advantageous. Strong proven working knowledge of Ocean imports. High level coupled with a high tolerance of stress. Systematic, logic and analytical approach.

Skills:

1. Well-developed computer literacy skills (MS Office) and Cargo Wise
2. Well-developed inter-personal skills coupled with expert written and verbal communication
3. Sound Planning and organisational skills

Key Responsibilities:

1. Ensure that all disbursements and revenue are recorded and recovered
2. Ensure that all costs are accrued for against applicable cost codes and creditors codes
3. Obtain instructions and documents
4. Check for completeness and accuracy, if necessary obtain further details/instructions
5. Keep system updated with all communication and documentation received and affected
6. Create insurance declaration and costing where applicable
7. Track un-invoiced charges
8. Ensure correct account codes are used
9. Do invoice and supporting document split, and ensure the document pouch gets distributed as per client requirement
10. Work daily through all outstanding accruals and WIPs
11. QC all invoices
12. Client queries are addressed satisfactorily
13. Credit notes limited to 2% of Invoicing
14. Company queries addressed satisfactorily

Performance Indicators:

1. Invoice and costing is done in accordance with client and tariff requirements
2. Invoicing and costing is done on time and correct first time
3. Time frames stipulated in BCS Procedures adhered to
4. Accuracy of upload on Cargo Wise
5. Documentation processed in full
