Job description

The Project Coordinator is an important and versatile position within the installation department. The position is dynamic and fast-paced, requiring great accuracy and attention to detail. The coordinator provides support to the project managers and foreman, ordering materials and equipment for commercial refrigeration installation projects. Strong organizational skills as well as strong written and verbal communication skills are essential.

Responsibilities

  1. Obtain order needs from project managers or foreman.
  2. Issue and receive purchase orders against jobs in our system for materials, rental equipment, subcontractors, etc.
  3. Meet project timeline objectives.
  4. Schedule and maintain delivery schedules.
  5. Advise install team of any changes to scheduled arrival dates.
  6. Maintain inventory as needed.
  7. Reconcile purchase orders.
  8. Review vendor invoices as needed.
  9. Complete tasks accurately and on time.
  10. Contribute to team effort by accomplishing related tasks as needed.
  11. Perform other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Additional Duties

  1. AIA.
  2. Typing and tracking change orders.
  3. Monthly review for job cost POC.
  4. Tracking sub-contractors purchase orders.
  5. Closing out all projects at end of month.
  6. COI.
  7. Site safety.

Requirements

  1. Minimum 1 year of project coordination experience in the commercial construction industry.
  2. High School Degree or GED equivalent.
  3. Experience in Construction or similar industry.
  4. HVAC/R industry knowledge or experience.
  5. Good computer proficiency.
  6. Strong organizational and communication skills.
  7. Good customer service/phone skills and flexibility for handling a wide range of activities.
  8. Data entry for accurately processing invoices and payment runs.
  9. Self-motivated and able to work well with others.
  10. Demonstrates time management skills.
  11. Flexibility and desire to take on additional responsibilities.
  12. Willing to learn and grow with the company.
  13. Ability to work independently, multi-task, and prioritize tasks with strict deadlines.

Working Conditions

Work is performed in a standard office environment. Approximately 90% of duties performed are in a seated position. The employee must reach with hands and arms and talk and hear. Specific vision abilities required by this job include close vision, distance vision, and ability to adjust focus.
