Human Resources Officers
Role Purpose:
The HR Officer provides administrative and operational support to the HR function, ensuring efficient HR processes, compliance, and positive employee experiences. This role plays a critical part in onboarding, employee engagement, and exit processes, working closely with HR Business Partners, Employee Engagement Specialists, and managers to support key HR initiatives. The HR Officer is expected to handle tasks independently while seeking guidance from senior HR team members when necessary.
Required Qualifications & Experience:
- Matric and/or Degree/Diploma in Human Resources, Business Administration, or a related field.
- Minimum of 3-5 years in an HR administrative role, with experience in onboarding and employee engagement preferred.
- Knowledge of HR systems and compliance with labour regulations is an advantage.
- Fully proficient in MS Office tools.
Key Responsibilities:
HR Administration & Compliance
- Support managers with the hiring and offer process, ensuring documentation is accurate.
- Process HR-related paperwork, including contracts, benefits enrolment, leave requests, and payroll inputs.
- Ensure all HR files are complete, confidential, and aligned with company policies and labour laws.
- Support payroll processing by providing necessary employee information.
- Assist in drafting HR policies, procedures, and employee communications.
- Maintain and update accurate employee records, ensuring all HR documentation is up to date and compliant with company policies and labour regulations.
- Assist with the preparation of HR reports, metrics, and audits to support decision-making.
- Ensure all HR policies and procedures are consistently applied across the business.
- Support the Senior HR Manager in HR process improvements, leveraging technology where possible.
- Provide first-line support for employee HR queries and escalate complex matters when needed.
Onboarding & Employee Integration
- Coordinate and oversee the onboarding process for new hires, ensuring smooth transitions.
- Assist hiring managers in preparing onboarding schedules, ensuring new employees receive necessary tools, system access, and training.
- Conduct HR induction sessions, ensuring employees understand company policies, culture, and expectations.
- Track and report on onboarding feedback, making recommendations for improvements.
- Participate in 30, 60, and 90-day check-ins to assess new employee experiences and escalate concerns.
Employee Exits & Offboarding
- Ensure employees follow a structured and professional offboarding process.
- Conduct exit interviews, document feedback, and identify trends impacting retention.
- Ensure all exit paperwork, final payroll instructions, and benefits termination are processed.
- Work with IT and Facilities to ensure a smooth system and asset handover.
- Provide reports to the Senior HR Manager on exit trends and recommendations.
Employee Retention & Engagement
- Support the execution of stay interviews, gathering insights to improve employee satisfaction.
- Collaborate with the Employee Engagement team to monitor workplace morale and wellbeing initiatives.
- Help develop and manage recognition programs to reward employee contributions.
- Track and analyse retention trends, identifying areas where HR interventions are needed.
