Introduction

Medipost Pharmacy is looking for a professional, disciplined and self-driven individual to join their dynamic HR Team. The successful individual will be responsible for managing general administration between the HR Department, employees, and line managers. The Human Resources Administrator (HRA - YES Candidate) supports the HRBP and Group at large with HR administrative and coordinative functions.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Administration

  1. Issue work confirmations (internal/external) timeously.
  2. Filing of employee information in the personnel files within agreed timelines as per SOP.
  3. Create new employee files and liaise with employee/HRBP/line-manager on outstanding documents.
  4. Label and index new employee files as per SOP.
  5. Telephone pin codes administration (new requests/updates/terminations) within agreed timelines as per SOP.
  6. Eco Time administration (new employees/updates/terminations) within agreed timelines as per SOP.
  7. Prepare induction packs within agreed timelines as per SOP.
  8. Order stationery for the HR Department within agreed timelines as per SOP.
  9. Assist QA with HR Audit preparation/during the audit as per SOP.

Customer Service

  1. Good collaboration with colleagues and management.
  2. Handle queries (payroll and admin) and resolve/provide feedback within agreed timelines.
  3. Assist with Eco-Time enquiries/requests within agreed timelines.
  4. Adaptability and problem-solving capabilities: 100% query resolution.
  5. Assist with recruitment functions within agreed timelines as per SOP.
  6. Ability to identify and escalate problems through relevant channels.
  7. Maintain good relationships toward department and the Group at large.
  8. Willingness to work overtime.
  9. Self-initiative and willingness to constantly exceed expectations.
  10. Self-motivated.
  11. Conflict management and appropriate levels of discipline maintained.

Output

  1. Adhere to timelines as per SOPs.
  2. Process terminations tasks accurately and submit within agreed timelines with supporting documents attached as per SOP.
  3. Prepare induction packs accurately within agreed timelines.
  4. Complete induction packs accurately and submit timeously within agreed timelines with supporting documents attached.
  5. Prepare documents for new employees, transfers, promotions, etc., with supporting documents attached within agreed timelines as per SOP.
  6. Maintain employee information on Eco-Time accurately within agreed timelines as per SOP.
  7. Complete checklists and document control sheets and submit supporting documents as per SOP.
  8. File documents in personnel files within agreed timelines as per SOP.
  9. Ability to prioritize work to achieve the required daily outcomes.
  10. Optimize working hours.
  11. Good time management: outcome-driven and deadline-oriented.

QUALIFICATIONS:

  1. Degree/Diploma in Human Resource Management or an equivalent qualification.

EXPERIENCE:

  1. No experience required.
  2. Computer literacy.

TRAINING OFFERED:

  1. Training on company systems (VIP Payroll, HR Premier, ESS, Eco-Time), Company Policies & Procedures, Standard Operating Procedures (SOPs).
