Job description

The Key Account Administrator primarily assists their delegated Key Accounts Manager and Key Accounts Executive with daily, weekly, and monthly administrative tasks.

Job Duties and Responsibilities

  1. Accurate data capture and analysis
  2. Accurate creation and timely completion of reports
  3. Client relations and liaison
  4. Order capturing and processing; from receipt to delivery
  5. Following up on orders and client requirements
  6. Providing feedback internally and externally
  7. Keeping accurate and up-to-date filing systems
  8. Evaluation of clientele needs
  9. Visiting stores monthly to submit up-to-date reports
  10. Acting as professional PA to assigned Manager / Executive
  11. Assist in preparation of presentation materials
  12. Assisting in the preparation for meetings with clients
  13. Keeping a designated section of the showroom clean and updated
  14. Capturing and submission of minutes from meetings
  15. Plan and schedule meetings, presentations, and other office-related events
  16. Sending reminders regarding upcoming appointments
  17. Suggest changes to office task workflow to improve efficiency
  18. Answer phones in a professional manner and direct calls to appropriate persons or take detailed messages
  19. Manage communication of information in and out of the office; including but not limited to letters, emails, memos, etc.
  20. Prepare outgoing mail and packages for executives
  21. Monitor and maintain office equipment; both allocated and shared
  22. Ensure office is kept clean and organized at all times
  23. Respond to and observe direct instructions as they are received
  24. Adhere to and meet deadlines that are communicated
  25. Maintain positive and professional staff and client relationships
  26. Support office staff and executives with general operational tasks
  27. Adhering to and meeting all objectives as specified via monthly KPI appraisals

Requirements and Qualifications

  1. Professional administrative experience
  2. Valid SA driver's license and own functional car
  3. Strong matric and/or tertiary study results (relevant NQF8 or Bachelor's Degree preferred)
  4. Fast, proficient, and accurate typist and/or data capture
  5. Extensive knowledge of Microsoft Suite and other administrative programs
  6. Intermediate to advanced MS Excel proficiency
  7. Self-starter who works well independently
  8. Ability to prioritize given tasks and work efficiently towards completing them
  9. Familiar with common office equipment (printers, copier, fax, etc.)
  10. Detail-oriented and exceptional organizational skills
  11. Experience with complex file management
  12. Strong problem solver and analytical thinker
