Purpose of Role

The Head of Operations within JGF leads a variety of subordinate roles with a view to supporting the Design, Implementation, Partnerships and Advocacy divisions. The role will develop, maintain and oversee the implementation of JGF's operations policies, frameworks and standards and oversee daily organization operations, manage multiple teams toward maximum productivity and operational efficiency while working in close collaboration with the CEO, Head of Programme Implementation and Head of Strategy and Programme Development in setting and driving our organizational vision into operational plans.

Objectives of Role

Leadership ad Leading Operations:

  • Form part of JGF Exco to influence and lead operations to enable the evolution of programmes.
  • Drive organizational excellence and efficiency through active management of the organization architecture enabling delivery.
  • Translate strategy into actionable steps for growth, implementing organization- wide goal setting, performance management, and annual operations planning.
  • Use the leadership platform provided to ensure all areas across JGF understand the mandate of the operations team and to be the 'operational' voice in leadership meetings.
  • Provide excellent enablement support to other departments within JGF through the design of strong internal service level agreements.
  • Create standard operating procedures, process maps and other related operations frameworks to drive optimization.
  • Due to the ever-evolving nature of organizations, the Head of Operations will need to make sure that the enablement function mandates are consistently updated.
  • Lead definition, monitoring and analysis of operational effectiveness metrics.
  • Manage internal stakeholders in setting high standards for work quality and quantity and delivering high productivity.
  • Develop and evolve the body of knowledge required to execute on daily tasks.
  • Ensure the tasks assigned to the operations team are well strategized, monitored and managed.
  • Demonstrate strong project management skills to ensure tasks and actions agreed upon are taking place within the correct time frames.
  • In depth understanding of unit costs within the JGF environment to streamline operations to lower input costs as well as making operations more efficient.
  • As the custodian of operations ensure that through every iteration of optimisation processes are well understood, captured and documented.
  • Provide real time reports and dashboards to business on the state of the business as well as on the efficiency of enablement initiatives

People Management:

  • Provide guidance, support and structure to operations team.
  • Manage the team through all HR related processes.
  • Manage daily performance, set quarterly and annual goals.
  • Act as point of escalation with regards to third parties managed by subordinate structures.

Partnership Management:

  • Engage closely with Shared Services to ensure their service level agreement with JGF are complied with and to address any deviation.
  • Manage large business/ technology related contracts from contracting to price negotiations, with external service providers.
  • Manage timeframes around contract periods to ensure cancellations and renewals are effected to ensure business continuity.

Experience and Qualifications

Education:

  • Honours Degree / NQF level 8 in Business Administration, Economics, Operations Management, Process Engineering or related field Essential
  • Master’s degree / NQF level 9 in Business Administration, Economics, Operations Management, Process Engineering or related field is advantageous

Experience:

  • 10 years of experience in Operations, with at least 5-7 years in a senior role
  • Proven consulting and advisory experience in Business Process, Process Transformation, Process Optimization as well as Operational Execution experience in Project Management
  • Leadership experience leading initiatives
  • Supervising and Overseeing experience in Monitoring and Evaluations

Skills:

  • Excellent analytical and problem-solving skills.
  • Complex written proposals and presentations skills, aimed at setting or changing strategy for a business unit or an external client as well as Communication around escalated or difficult queries with customers or clients
  • Negotiation skills with customers or suppliers over price, contracts or services
  • Relationship building and managing with relevant internal and external stakeholders
  • Process Management
  • Proficiency Microsoft Office Suite.
