Job Summary:
The role is responsible for managing the end-to-end payroll function for the Group, ensuring data integrity within HR systems, and maintaining compliance with company policies and legal regulations. Key duties include processing payroll, reviewing compensation and benefits strategies, preparing financial submissions, and handling statutory reporting across multiple legal entities.

Key Responsibilities:

  1. a) Group HR Strategy – Compensation and Benefits
    Implement agreed strategic pillars in compensation and benefits.
    Liaise with the Group HR Executive to align on payroll initiatives in line with the overall strategy.
  2. b) Company Policy
    Review Compensation and Benefits Policies to re-align with Government Policy, Company Objectives, and Market Trends – ensuring cost-effectiveness and compliance.
  3. c) Human Resources Systems and Administration
    Update applicable HR Systems with any changes as per change request forms.
    Create positions and manage vacancies on VIP (Organization Management).
    Perform audit checks every month to ensure data consistency between systems (current & future).
  4. d) Payroll System
    Liaise with HR and staff regarding appointments, terminations, internal movements, and payroll requirements.
    Quality check payroll input for Company Operations and subsidiaries when required.
    Collaborate and lead monthly payroll audits.
  5. e) Payroll Administration
    Ensure the accuracy of the Group’s payroll processing, payroll accounting, tax filing, benefits maintenance, and various special payments.
    Ensure all employees are paid accurately on the contracted dates of the month.
    Ensure payments to third parties such as Liberty, Momentum, Bonitas, Discovery, and others are made before the agreed contractual dates and reconciled to the statements received.
    Respond to inquiries related to payroll and provide guidance on laws governing payroll and income taxes, employee benefits, garnishments, reimbursement policies, and other statutory entitlements.
    Ensure that leave is accurately and timely captured in the group and that accrued leave is managed monthly, including leave in lieu of overtime.
  6. f) Compensation & Benefits
    Submit data for remuneration and other related surveys.
    Submit data for legislative reporting.
    Lead payroll due diligence on acquisitions or organizational re-alignment.
    Submit data for audits and manage the internal process.
    Manage the centralization of the Group’s payroll and develop capability if opportunities arise (e.g., acquisitions or mergers).
    Act as the chief custodian of the administrative processes on Pension, Retirement, Provident Funds, Medical Aids, and other fringe benefits and associated perks.
    Provide relevant and accurate tax advice to Management regarding cost-effectiveness and compliance with local laws.
  7. g) Other Processes
    Prepare PAYE returns and reconciliations for SARS and submit accordingly.
    Update payroll records by reviewing and approving changes in taxation, exemptions, deductions, job titles, and employee transfers.
    Determine payroll liabilities by approving calculation of employee taxes, UIF, WCA, etc.
    Coordinate WCA compliance and submissions for the Group.
    Maintain workflow with the Payroll Department.
  8. h) Leadership of the People
    Ensure that subordinates have performance agreements and are held accountable.
    Implement performance management measures and foster a culture of accountability and high performance.
    Interface at all levels of the organization, including quality discussions with Executive Managers.
