Job description

Definition:

Fleet controllers oversee all aspects of vehicle management, including the safety of drivers & operators at all times. They continually monitor the efficiency and performance of the fleet, looking for ways to improve productivity and reduce errors.

Overall Purpose of the Role:

The main responsibility of a Fleet Controller is to record and maintain accurate data regarding everything pertaining to a specific fleet, keeping a detailed history for every vehicle.

Key Responsibilities:

  1. Keeping accurate compliance records.
  2. Managing fleet capacity and fleet insurance; acting as the first line of contact with Insurance for end-to-end claims handling/management.
  3. Assisting field staff with a suitable safe working area and sourcing spare parts for speedy repairs.
  4. Creating and maintaining fleet files.
  5. Keeping customers fully informed of all stoppages, including progress, problems, and delays.
  6. Ensuring all vehicle maintenance checks are up to date.
  7. Managing day-to-day operations of vehicle maintenance, service, and repairs.
  8. Utilizing GPS systems to track vehicle locations, aiding in recovery if lost or stolen.
  9. Looking for ways to reduce costs and increase profits, including improving fuel efficiency.
  10. Monitoring fuel and investigating discrepancies.

Procedures:

  1. Communicating with drivers and operators every morning to ensure there are no issues with the fleet on site.
  2. Problem-solving on-site dilemmas within a timeframe as advised by management.
  3. Daily monitoring of all fleet using tracking software.
  4. Ensuring drivers & operators report for duty on time.
  5. Maintaining daily fleet records, including site location, establishment date, number of days on site, repairs done, and de-establishment date.
  6. Collecting signed timesheets.
  7. Monitoring fuel consumption.
  8. Communicating fault findings in writing for the fleet with the workshop manager for timely repairs & maintenance.
  9. Constantly communicating with customers regarding delays, if necessary.
  10. Resolving customer queries related to fleet hours on site.
  11. Updating electronic plant hours for all fleet daily.
  12. Ensuring fleet licenses are renewed a month before expiry.
  13. Ensuring drivers and operators' site compliance (HSE) packs are in order and up to date.
  14. Arranging monthly rental allowances for operators and drivers staying on site.
  15. Assisting the Sales Manager with weekly/monthly sales invoices.

Job Type: Full-time

Education:

  • Certificate (Preferred)

Experience:

  • Fleet controller: 5 years (Preferred)

License/Certification:

  • Code 10 Drivers License (Preferred)

Location:

  • Pinetown, KwaZulu-Natal (Preferred)
